Summary:

The Sales Support Representative role is a vital part of the sales cycle, ensuring smooth operations and exceptional customer experience through accurate order processing, effective communication, and issue resolution. Essential Functions & Responsibilities:

Order Processing and Management

  • Accurately process customer orders received via phone calls, voicemail, email, or text messages.
  • Ensure all orders are entered correctly and in a timely manner.
  • Collaborate with the production team to verify order accuracy, product quality, and timely fulfillment.
  • Communicate and finalize product transfers, substitutions, or order cancellations with relevant teams.

Customer and Team Support

  • Provide prompt and professional responses to customer inquiries, including questions from house accounts, drivers, and sales representatives.
  • Offer product recommendations, substitutions, and inventory updates to ensure customer satisfaction and address any order challenges.
  • Resolve customer, driver, and sales team issues efficiently, escalating complex problems when necessary.

Inventory and Communication Management

  • Monitor inventory levels daily and communicate product shortages or delays to the sales team.
  • Proactively work with the sales and production teams to find solutions for affected customers.
  • Share critical updates and pertinent information across team shifts to ensure continuity of service.

Administrative and Compliance Responsibilities

  • Distribute and manage customer credit application forms as needed.
  • Adhere to all responsibilities under the Hazard Analysis and Critical Control Point (HACCP) program to maintain compliance and safety standards.
  • Report any accidents, incidents, near misses, or hazardous observations immediately to the supervisor.
  • Document and maintain accurate records related to customer accounts, orders, and incidents

Additional Responsibilities

  • Assist with other duties as assigned to support the team and ensure smooth operational workflows.


Education & Experience

  • Highschool diploma or GED
  • Minimum of two years in a customer service or data entry role. Previous food distribution experience is a plus.

  • Organizational and Detail-Oriented Skills: Manage tasks effectively, prioritize duties, and maintain attention to detail to ensure accuracy and reliability in all aspects of the role.
  • Work Independence: Perform responsibilities under general supervision while demonstrating initiative and the ability to manage tasks autonomously.
  • Technology: Ability to navigate and troubleshoot online ordering platforms, MS Office, and other sales communication tools.
