Overview

We are seeking a dedicated and detail-oriented Administrative Assistant for Product Development to join our dynamic team. In this role, you will provide essential administrative support to the product development department, ensuring smooth operations and effective communication across teams. The ideal candidate will possess strong organizational skills, excellent computer literacy, and a proactive approach to office management. Duties

  • Manage calendars and schedule meetings for product development teams, coordinating with internal and external stakeholders.
  • Handle front desk responsibilities, including greeting visitors and managing multi-line phone systems with professionalism and courtesy.
  • Maintain accurate filing systems, data entry, and document proofreading to support project documentation and reporting.
  • Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking.
  • Assist with office management duties such as ordering supplies, organizing files, and ensuring the office environment is efficient and welcoming.
  • Provide exceptional customer service by addressing inquiries promptly via phone or email, demonstrating strong phone etiquette.
  • Support project coordination by preparing reports, managing deadlines, and assisting with calendar management.
  • Utilize Google Workspace and Microsoft Office tools to create presentations, spreadsheets, and correspondence as needed.
  • Facilitate communication between departments by maintaining organized records and supporting team collaboration efforts.
  • Contribute to data entry tasks related to product development processes, ensuring accuracy and confidentiality.

Qualifications

  • Proven experience in office management, administrative support, or clerical roles within a professional setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent typing speed and accuracy; familiarity with proofreading is preferred.
  • Experience with QuickBooks or similar bookkeeping software is highly desirable.
  • Bilingual abilities are a plus to support diverse team communication.
  • Knowledge of multi-line phone systems, front desk procedures, and customer service best practices.
  • Demonstrated ability to handle confidential information discreetly with strong attention to detail.
  • Personal assistant or medical/dental receptionist experience is advantageous but not required.
  • Effective time management skills combined with a proactive attitude towards office responsibilities. Pay: $50,000.00 - $70,000.00 per year
