We are seeking a highly organized, personable, and detail-oriented Dental Front Office Scheduler / Receptionist to serve as the first point of contact for our patients and to support the smooth daily operation of the practice.

Key Responsibilities
Patient Reception & Customer Service
- Greet patients warmly and professionally in person and over the phone, creating a positive and reassuring first impression
- Answer incoming calls promptly and courteously, addressing inquiries related to appointments, procedures, directions, and general practice information
- Assist patients with check-in and check-out processes while maintaining a calm and welcoming front office atmosphere
- Handle patient concerns, questions, or scheduling challenges with empathy, professionalism, and discretion
- Maintain patient confidentiality and comply with HIPAA regulations at all times
Appointment Scheduling & Calendar Management
- Schedule, confirm, reschedule, and cancel appointments efficiently while optimizing provider schedules
- Coordinate complex treatment appointments, including surgical procedures, consultations, follow-ups, and maintenance visits
- Ensure accurate appointment lengths based on procedure type and provider requirements
- Manage scheduling for multiple providers while minimizing gaps, overbooking, or inefficiencies
- Contact patients for appointment reminders, confirmations, and follow-ups to reduce no-shows
- Maintain waitlists and proactively fill last-minute openings when possible
Insurance & Financial Coordination Support
- Verify dental insurance benefits and eligibility prior to appointments when needed
- Explain insurance coverage, estimates, and financial policies clearly and professionally to patients
- Collect co-payments, deductibles, and payments at time of service as required
- Post payments accurately and balance daily transactions
- Work closely with the billing and clinical teams to ensure financial clarity and accuracy
Administrative & Front Office Duties
- Maintain accurate and up-to-date patient records in the practice management system
- Scan, upload, and organize patient documents, referrals, and correspondence
- Process new patient paperwork and ensure all required forms are completed
- Manage incoming and outgoing mail, emails, and faxes
- Maintain cleanliness, organization, and professionalism of the front desk and reception area
- Order and monitor front office supplies as needed
Communication & Team Collaboration
- Communicate effectively with doctors, hygienists, surgical assistants, and office management
- Relay patient information, scheduling changes, and special instructions accurately to the clinical team
- Support a team-oriented environment by assisting colleagues when needed
- Participate in staff meetings, training, and practice improvement initiatives
- Uphold the practice’s standards, values, and commitment to excellence
Required Qualifications
- High school diploma or equivalent required
- Minimum of 1 year experience in a dental front office or healthcare reception role preferred
- Knowledge of dental terminology, procedures, and scheduling protocols strongly preferred
- Familiarity with dental practice management software (e.g., Dentrix, Eaglesoft, Open Dental, or similar)
- Basic understanding of dental insurance plans and verification processes
- Proficiency with computers, multi-line phone systems, and office equipment
