POSITION SUMMARY
The Client Services Lead plays a crucial role in enhancing the effectiveness and efficiency of our client services department. Without holding direct management responsibilities, this individual leads by example, providing advanced support activities for the advisory team and serving as the departmental lead. Reporting directly to the Director of Operations, the Client Services Lead ensures excellence in client data management, paperwork preparation, and administrative support, while also being a primary advocate for refining client service policies and procedures.

ESSENTIAL FUNCTIONS
- Leadership and Execution: Lead the execution of advanced client support activities, setting a high standard for the advisory team in client data management, paperwork preparation, and ongoing administrative support. Serve as the departmental lead, embodying the pinnacle of professionalism and expertise in client services.
- Policy Development: Develop and refine client service policies and procedures, ensuring operational efficiency and adherence to industry standards.
- Client Interaction: Act as the primary point of contact for client queries, offering exceptional service, and resolving issues swiftly to maintain and enhance client satisfaction.
- Meeting Coordination: Coordinate and prepare for client meetings, managing scheduling, and document preparation to facilitate productive and engaging discussions.
- Client Onboarding: Lead the client onboarding process, providing a smooth and welcoming experience that sets the tone for long-term client relationships.
- Compliance Assistance: Assist with compliance requirements, leveraging a comprehensive understanding of regulatory obligations to ensure departmental adherence; extensive knowledge with ERISA and TPA service providers.
- Team Training and Guidance: Provide essential training and guidance to both new and existing team members on best practices, software applications, and operational procedures, enhancing team capabilities and service quality.
- Client Records Management: Oversee the management and maintenance of client records within CRM software, experience utilizing Salesforce preferred, ensuring data accuracy and completeness.
- Paperwork Workflow Management: Manage the end-to-end paperwork workflow, from initiation to completion, guarantee timely processing and enhance client satisfaction.
- Ability to meet with Employer Committees.
- Build relationships with key stakeholders and decision makers, collaborate with plan sponsors and advisors on plan design and other administrative aspects.

KNOWLEDGE, SKILLS, AND ABILITIES:

EDUCATION AND EXPERIENCE:
- Bachelor’s Degree in a related area preferred.
- At least five years of administrative experience in financial services.
- At least 3-5 years in 401(k) administration and/or recordkeeping.
- Designation or accreditation: QKA or APA (preferred)
WORK ENVIRONMENT/PHYSICAL DEMANDS
- Core Hours: 8 AM - 4:30 PM, Mon-Fri. (possible 1 flex day per week)
- Computer Use: Analyzing data, software, and reports
- Deadline-Driven: Occasional extended hours.
- Professional Attire: Business dress code
