What are the responsibilities and job description for the Accounting / Payroll Admin position at SCPS Unlimited?
Our South Bay studio is seeking a Accounting / Payroll Administrator to support the Finance team as we look to bring payroll and bookkeeping functions in-house. This role will handle day-to-day payroll processing, benefits administration, and general accounting tasks, with an emphasis on accuracy, compliance, and data management.
You will work closely with Finance to ensure payroll, benefits, and accounting data are properly maintained across QuickBooks Online, our project management system, and internal reporting tools. This position requires regular interaction with employees, contractors, and external vendors, and calls for someone who genuinely enjoys both people and data.
Responsibilities:
Payroll
- Process payroll and maintain payroll records accurately and on time.
- Manage time-off tracking, PTO accruals, benefits enrollments, and 401(k) setup/maintenance.
- Assist with new hire onboarding and contractor onboarding as needed.
- Support Workers’ Compensation claim reporting and follow-through.
- Maintain compliance with federal, state, and local employment requirements.
Accounting & Bookkeeping
- Payroll entries in QuickBooks Online.
- Prepare and post accrual entries; follow/create schedules for month-end accruals.
- Close the books monthly; assist finance team with any outstanding tasks needed to close the books.
- Assist with maintaining and updating internal financial databases.
Reporting & Data Management
- Update, maintain, and periodically revamp existing Excel/Sheets reports.
- Assist Finance with expense allocation and project-tracking data entry.
- Perform research and gather additional information for incomplete documentation.
- Support ongoing bookkeeping cleanup and organization projects.
- R&D tax credit experience is a plus (not required).
General
- Perform any other administrative or data-related tasks as needed to support Finance
- File management - physical and digital.
Desired Skills & Qualifications:
- Proficient in QuickBooks Online (required).
- Minimum 2 years QuickBooks experience with accrual-based accounting knowledge.
- Experience processing payroll and administering benefits (PTO, WC, 401k, etc.).
- Strong Excel and Google Sheets skills; able to maintain and improve financial reports.
- Ability to prioritize workload and handle multiple tasks under tight deadlines.
- Excellent communication, organizational, and interpersonal skills.
- Self-directed, reliable, and comfortable working with minimal supervision.
- Strong attention to detail with a high level of accuracy.
- Experience with R&D tax credit documentation is a plus.
