Job Overview
We are seeking a highly organized and personable Appointment Scheduler and Office Assistant to join our team. This role is to ensure smooth daily operations, managing appointment scheduling, data entry, and providing quality customer service. The ideal candidate will have strong office management skills, proficiency in various computer applications, communication skills, and the ability to handle multiple tasks efficiently in a fast-paced environment.

(1) Full time scheduler/assistant
(1) Part office assistant

Responsibilities
- Manage appointment scheduling using calendar management tools and ensure accurate booking and rescheduling of client appointments
- Answer multi-line phone systems promptly with professional phone etiquette, directing calls appropriately
- Communicate with clients courteously over the phone and provide proficient customer service
- Maintain organized files, data entry into work orders, and ensure proper filing system etiquette is followed
- Utilization of office work applications; Microsoft Office, Google Sheets, Excel for administrative tasks such as document creation, proofreading, and daily tasks
- Assist with office management duties including mail handling, and general clerical support
- Support customers by responding to inquiries via phone or email in a courteous manner
- Perform administrative tasks such as typing correspondence, data entering on work orders, proofreading documents, and managing office schedules
- Coordinate with team members to ensure efficient scheduling and proficient workflow; timely completion of tasks
Requirements
- Proven experience in office administration, or reception roles
- Computer knowledge with experience in Microsoft Office, Google Workspace, data entry, and office management software such as QuickBooks
- Organizational skills with the ability to multitask effectively and manage time efficiently
- Phone answering, and communication etiquette, customer service skills
- Experience with calendar management, filing systems, proofreading, and data entry
- Ability to handle sensitive information discreetly and maintain confidentiality
- Prior experience with personal assistant duties is advantageous
- High school diploma or equivalent; additional administrative training or certification is preferred
Job Types: Full-time, Part-time
Pay: $18.00 - $25.00 per hour
