Job Summary
We are seeking a dedicated, proactive, and highly organized Client Services Specialist to join our established financial services and insurance office in the Fredericksburg, Virginia area.
The Client Services Specialist serves as a key member of our team and acts as the primary point of contact for clients, prospective clients, and business partners. This position provides administrative and client service support to the Financial Advisor while helping ensure clients receive exceptional service throughout their relationship with our firm.
The ideal candidate is detail-oriented, dependable, professional, and able to manage multiple priorities in a fast-paced environment. This individual should have strong communication skills, excellent organizational abilities, and the ability to maintain confidentiality while handling sensitive client information.
All responsibilities are performed in accordance with firm policies, regulatory requirements, and industry compliance guidelines to ensure the accuracy, confidentiality, and integrity of client information, documentation, and financial transactions.
Duties and Responsibilities
- Serve as the primary point of contact for clients, prospective clients, vendors, and business partners through phone, email, and in-person communication.
- Provide exceptional client service by addressing requests, answering questions, and ensuring timely follow-up.
- Manage incoming phone calls, correspondence, and client inquiries while maintaining professionalism and confidentiality.
- Schedule and coordinate client appointments, meetings, periodic business reviews, and assist with office events.
- Prepare client files, reports, and required materials for financial appointments.
- Assist the Financial Advisor with daily administrative and client service responsibilities including, process and prepare account service paperwork including new accounts, transfers, rollovers, conversions, beneficiary changes, banking updates, and other client requests.
- Review paperwork for accuracy and completeness prior to submission.
- Submit and monitor account-related requests with investment companies, custodians, insurance carriers, and other financial institutions.
- Communicate with outside companies and service providers to resolve account issues and obtain updates.
- Coordinate electronic signature requests and monitor pending documentation through approved platforms.
- Track outstanding client requirements and follow up to ensure completion.
- Assist with insurance processing, including preparing illustrations and tracking application requirements.
- Maintain accurate client records, including electronic and paper files, while following compliance and recordkeeping procedures.
- Assist with reviewing financial transactions and account documentation.
- Prepare professional client correspondence, letters, and other office communications.
- Manage incoming and outgoing mail, including returned mail notifications and document processing.
- Maintain calendars, schedules, office organization, and daily workflow.
- Assist with office projects, marketing initiatives, social media, and client appreciation events.
- Welcome clients into the office and help create a positive and professional client experience.
- Assist with general office operations, including supplies, organization, and administrative tasks.
- Perform occasional business-related errands and other duties as assigned.
Requirements and Qualifications
- High School Diploma required.
- 1 years of office, administrative, customer service, financial services, banking, or insurance experience is preferred.
- Ability to obtain applicable insurance and securities licenses.
- Proficiency with Microsoft Office, office equipment, and the ability to learn financial industry software platforms.
- Strong written and verbal communication skills.
- Excellent organizational skills with the ability to prioritize and manage multiple tasks.
- Strong attention to detail and accuracy.
- Ability to handle confidential and private information with discretion.
- Professional, dependable, positive, and team-oriented attitude.
- Ability to work independently while supporting a collaborative office environment.
