SUMMARY
Oversees the details of events booked at Ambassador. Tasks include a broad range of administrative, logistical and customer service-related activities. Individual in this position becomes the primary liaison between the Sales Department and the Banquet Department. Ensures all details for each function are identified and placed on the BEO.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
· Provide detailed management of meetings and events.
· Primary liaison between the Sales Department and the Banquet Department.
· Establish and maintain a positive, professional relationship with clients through effective, accurate, timely, and reliable communication and action; always remaining one step ahead of the client in anticipation of their needs, guaranteeing that each client's expectations, requirements and requests are being met.
· Ensure complete and regular follow-up with all details to ensure that client requirements and expectations are being met. Communicate with the appropriate staff in advance to ensure any deficiencies are corrected.
· Ensure that all necessary information is obtained from the client in a timely and accurate manner. Communicate client requirements and requests to appropriate parties. Communicate regularly with clients via telephone contact, written correspondence, and in person, on policies and procedures as they relate to the coordination of their events.
· Provide timely response to phone calls and messages, ensuring the messages are returned. Address all client concerns as they develop ensuring prompt resolution.
· Communicate operational problems as they arise to banquet management.
· Maintain BEO or event files, making sure they are kept organized and current with all information.
· Attend regular designated meetings to provide status of events and bring issues to the attention of management to ensure timely resolution.
· Prepares and submits for approval any invoices to be paid.
· Exemplify a positive can do attitude and lead by example. Foster and promote a cooperative working climate maximizing employee morale.
· Addressing complaints and resolving problems.
· All other duties as assigned.

EDUCATION and/or EXPERIENCE
· Must have two years of work experience in hotel industry
· Bachelor’s degree is preferred but not necessary.
· Excellent skills developing approaches to meet client needs/demands while staying within project budget guidelines.
· A minimum of three years prior related experience in event planning.

· Ability to work in fast paced environment.

· Ability to operate a copy and fax machine, which requires continuous and repetitive arm, hand, and eye movement.
· Ability to successfully and safely operate a vehicle.
