The Executive Administrative Assistant plays a pivotal role in supporting senior executives by managing complex schedules, coordinating communications, and facilitating efficient office operations. This position ensures that executives are well-prepared for meetings, travel, and strategic initiatives by handling logistics and documentation with precision and confidentiality. The role demands proactive problem-solving to anticipate the needs of executives and streamline administrative processes, thereby enhancing overall productivity. The Executive Administrative Assistant acts as a liaison between executives, clients, and internal teams, maintaining professionalism and fostering strong working relationships. Ultimately, this position contributes significantly to the smooth functioning of executive leadership, enabling them to focus on high-level decision-making and business growth.

Minimum Qualifications:

  • Associate’s or Bachelor’s degree in Business Administration or similar
  • Minimum of 5 years of experience in an administrative support role, preferably supporting senior executives.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent verbal and written communication skills with a high level of professionalism and discretion.

Preferred Qualifications:

  • Advanced proficiency with collaboration and project management software such as Microsoft Teams, SharePoint, or similar platforms.
  • Certification in administrative support or project management (e.g., CAP, PMP).
  • Demonstrated ability to handle confidential information with integrity and discretion.

Responsibilities:

  • Manage and maintain executives’ calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare, review, and distribute correspondence, reports, and presentations with a high degree of accuracy and confidentiality.
  • Coordinate and organize executive meetings, including logistics, agendas, and follow-up on action items.
  • Serve as the primary point of contact between executives and internal or external stakeholders, ensuring timely and effective communication.
  • Assist with special projects and research as needed to support executive decision-making and strategic planning.
  • Maintain and organize confidential files and records, ensuring compliance with company policies and industry regulations.
  • Handle expense reports, budget tracking, and other administrative tasks to support financial oversight.
