POSITION OVERVIEW
Program Coordinator (Project Operations) serves as a key member of the Ethics and Compliance team, providing program and project coordination supporting clinical guideline development, physician committees, publication workflows, and conflict of interest administration. This role collaborates with physicians, volunteer leaders, journal editors, and cross-functional departments to coordinate multiple concurrent projects, organize meetings and conferences, oversee publication activities, and ensure the successful execution of high-impact medical programs that advance evidence-based patient care.

RESPONSIBILITIES
- Coordinate multiple medical program and clinical guideline projects from initiation through publication while managing timelines, milestones, committee activities, and communications.
- Organize physician committee meetings, webinars, conference sessions, and virtual meetings, including scheduling, invitations, agendas, meeting materials, and logistical support.
- Coordinate publication workflows by managing document submissions, manuscript routing, peer review activities, and communications with journal editors.
- Administer conflict of interest disclosure processes by supporting physicians, volunteers, and committee members while maintaining confidential records and assisting with reporting and data management.
- Maintain project documentation, databases, invoices, reports, and workflow tracking systems while ensuring accuracy, organization, and timely completion.
- Collaborate with internal departments, volunteer leadership, vendors, and marketing teams to support program implementation, guideline dissemination, educational initiatives, and continuous process improvement.
QUALIFICATIONS
- Bachelor's degree and at least two years of experience in program coordination, project coordination, healthcare administration, nonprofit administration, association management, medical education, or a related field.
- Demonstrated ability to manage multiple concurrent projects while balancing competing priorities and deadlines.
- Excellent organizational, written, verbal, and interpersonal communication skills with exceptional attention to detail.
- Proficiency with Microsoft Office, Zoom, and Salesforce. Experience with Monday.com, SurveyMonkey, ScholarOne, project management platforms, or similar systems is highly preferred.
- Ability to travel approximately one to two weeks annually to support conferences and organizational meetings.
