Position Summary:
Under the direction of the Clerk or Deputy Clerk, assists in executing a comprehensive digital records retention project. Ensure compliance with records management and records retention guidelines. Familiarity with governmental records to ensure the successful organization, retention, and legal compliance of government records.
Essential Job Functions:

Project Planning & Execution:
o Assists in the planning, execution, and completion of the paper-to-digital records retention project, ensuring that it is delivered on time and within retention regulations.
o Scan paper records, enter fields of data, and maintain organization of both paper and digital records.
Digital Records Management:
o Assess and organize the current digital records inventory.
o Implement a strategy for the classification and archiving of digital records based on regulatory and organizational requirements.
Compliance & Legal Requirements:
o Ensure the retention of digital records complies with governmental-specific laws, regulations, and standards.
o Work closely with department heads to follow retention policies and procedures for digital records.
o Guidance and training will be provided on digital record retention policies, best practices, and tools.
Knowledge, Skills, Abilities, and Minimum Qualifications:
· High school diploma or equivalent.
· Experience in managing large-scale digital records retention or data governance projects preferred.
· Familiarity with records management retention requirements and digital archiving tools.
· Strong project skills, including experience with timelines, and resource allocation.
· Excellent collaboration skills, with the ability to interact with multiple teams in a professional manner.
· Strong attention to detail and problem-solving skills.
· Excellent verbal and written communication skills.
· Ability to work independently.
· Demonstrated ability to prioritize and complete tasks in a timely manner.
· Proficient with Microsoft Office Suite (including Excel), Adobe Acrobat, and PaperVision or similar database program.
· Familiarity with, or comfort operating, large format and small format scanners and associated software.
Physical Demands and Work Environment:
While performing the duties of this job, the employee regularly works in an office setting with a controlled climate where they sit and work on a computer, communicate by telephone, email or in person, and move around the office to travel to other locations. The noise level in the work environment is usually quiet.
An employee in this position:
· Must be able to carry up to 30 pounds, up and down one flight of stairs.
· Must be able to push carts or wagons of paper through building.
· Must be able to stand or sit for extended periods of time.
· This is a temporary position of fixed duration from 1/19/2026 - 6/12/2026 with no benefits. The exact dates are negotiable.
Job Type: Temporary
Pay: $20.00 per hour
Expected hours: 32 – 40 per week
