Sales Operations Coordinator – Executive Assistance

This role ensures smooth and efficient operations within the sales organization through exceptional calendar management, communication, and coordination. The ideal candidate will be proactive, highly organized, and experienced in supporting commercial or sales leaders in the pharmaceutical or biotech industry.

Responsibilities
- Manage the VP of Sales’ calendar, including scheduling meetings, coordinating travel, and prioritizing appointments to maximize efficiency.
- Support day-to-day operations by anticipating needs, managing communications, and ensuring timely follow-up on key deliverables.
- Lead or assist in the planning, coordination, and execution of sales initiatives and projects; track progress, deadlines, and dependencies to ensure successful completion.
- Prepare and organize presentations, reports, and meeting materials; record and distribute meeting notes, ensuring action items are completed.
- Coordinate cross-functional meetings and serve as a liaison between the sales team and internal/external stakeholders to ensure clear, consistent communication.
- Manage logistics for sales events, conferences, and team meetings, including scheduling, materials preparation, and vendor coordination.
- Process and reconcile expense reports and assist with managing budgets for travel and departmental activities.
- Maintain confidentiality of sensitive business information and uphold the highest standards of professionalism.
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Minimum of 10 years of experience as an executive assistant or operations coordinator.
- At least 5 years of experience supporting senior commercial or sales executives in the pharmaceutical or biotech industry.
- Strong understanding of sales and commercial operations within a pharma or biotech organization.
- Demonstrated excellence in calendar management, project coordination, and cross-functional communication.
- Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and other productivity tools.
- Exceptional organizational skills, attention to detail, and ability to manage multiple priorities independently.
- High level of discretion, professionalism, and initiative in a fast-paced environment.
Salary : $45 - $55
