Administrative Assistant

SCI Consulting Group is seeking an Administrative Assistant to support internal operations, public-facing service requests, and day-to-day administrative functions that enable the delivery of funding programs for California public agencies. This full-time non-exempt position provides essential support through organization, communication, scheduling, and the process of coordination.

Established in 1985, SCI Consulting Group is a leading public finance and urban economics consulting firm specializing in local funding solutions for California public agencies, including cities, counties, school districts, and special districts. Our work spans public opinion research and community outreach, ballot measure design, rate and fee setting, and tax roll administration. SCI offers a dynamic and collaborative work environment with a dedicated, energetic team and flexible work schedules. Our office is located in Fairfield, California, near the intersection of I-80 and I-680 – about 30 minutes from Berkeley or Walnut Creek.

Role Overview:

The Administrative Assistant supports company operations and project delivery by providing reliable administrative, communication, and research support. The role includes responding to inquiries from the public (almost all by phone or email), assisting with tax roll levy administration for public agencies, supporting company operations, and maintaining organized internal processes and records. Typical assignments include:

  • Answering incoming phone calls and returning voicemails related to property taxes, tax exemptions, and ballot measures.
  • Processing tax exemption requests, including reviewing exemption applications and mailing out exemption materials.
  • Researching property details to provide accurate information for project teams.
  • Preparing, mailing, scanning, and organizing property owner surveys.
  • Issuing ballot replacements and supporting related mailed communications.
  • Managing company association memberships, conference schedules, and tracking event attendance.
  • Coordinating logistics for internal company events.
  • Providing general office support and maintaining organized records.

This role provides an opportunity to develop a strong understanding of public agency funding programs while supporting the internal team that implements them. There is room for this role to grow over time based on employee track record and interest.

Desired Qualifications

The ideal candidate will have at least five years of professional experience in administrative support, customer service, public administration, office coordination, or a combination of these areas. A bachelor’s degree or higher in Business Administration, Public Administration, Communications, or a related field may substitute for a portion of the required experience. Candidates should demonstrate excellent written communication skills, strong organizational ability, attention to detail, and reliability in managing deadlines and handling repetitive tasks accurately. Comfort interacting with members of the public by phone and email is important for this position.

Candidates must reside in the greater San Francisco Bay Area and be willing to travel occasionally for company events or local project needs (most travel, if any, will be day trips with minimal or no overnight stays). A valid California Driver’s License and access to a vehicle is required.

Knowledge:

  • General understanding of office administrative functions, customer service practices, data entry, and recordkeeping.
  • Familiarity with Microsoft Office Suite, including Microsoft Word, Excel, and Outlook.
  • Familiarity with public agencies, assessments, fees, or local government processes is helpful but not required.

Skills:

  • Strong organizational skills with the ability to track multiple processes, schedules, and tasks.
  • Clear written and verbal communication, especially when interacting with the public by phone or email.
  • Comfortable using office technology such as scanners, mailing equipment, and document management tools.
  • Reliable follow-through and accuracy when processing forms, exemptions, surveys, and mailing tasks (including mail merge).

Abilities:

  • Customer service orientation – patience, clarity, and professionalism when communicating with members of the public.
  • Ability to work independently, prioritize tasks effectively, and manage time in a deadline-driven environment.
  • Adaptability and willingness to support a wide variety of operational and project needs.

Compensation and Benefits:

The compensation package for this full-time position includes the following:

  • Hourly pay is competitive and commensurate with experience and can range from $26 to $28 per hour.
  • Year-end profit-sharing bonus based on performance.
  • 401(k) retirement plan with the company’s contribution determined annually based on profit-sharing (typically 18% of base salary) with no requirement for employee matching funds.
  • Comprehensive medical and dental benefits, including 100% of premiums paid by SCI for employee-only coverage.
  • Paid Time Off (PTO) accrual plan and eight holidays.

Pay: $26.00 - $28.00 per hour

Expected hours: 40.0 per week
