Role Description
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to directly support the President and CEO of our SEC-registered Investment Advisor (RIA) firm. This critical role requires managing a high-volume email inbox, streamlining a complex executive calendar, and executing administrative tasks with absolute discretion.
As a fiduciary firm, compliance, precision, and confidentiality are foundational to everything we do. The ideal candidate will act as a strategic gatekeeper, ensuring the President can focus on high-level growth and client management while operations run seamlessly in the background.
Position Type

Key Responsibilities
Inbox Management & Correspondence
- Filter and triage upwards of 300 daily emails, organizing them strictly by urgency and priority.
- Draft initial responses and follow-up communications on behalf of the President.
- Track action items embedded in email threads to ensure no deliverable or client request is missed.
- Delegate and tag internal team members into relevant email chains for resolution.
- Maintain inbox hygiene by systematically unsubscribing from junk mail and managing spam filters.
Calendar & Schedule Optimization
- Own the executive calendar, coordinating and scheduling high-priority meetings without conflicts.
- Liaise with external partners, including wholesalers, our marketing & PR firm, and referral networks.
- Coordinate client logistics, such as booking reservation details for client lunches and partner meetings.
- Protect the President's time by proactively buffering meetings and prioritizing deep-work blocks.
Task & To-Do List Execution
- Manage the President’s daily to-do list, preparing tasks that specifically require their direct attention or feedback.
- Follow up on outstanding tasks across the team to gather updates before executive review.
- Handle sensitive administrative duties unique to a wealth management environment with strict adherence to SEC compliance guidelines.
Qualifications & Skills
- Experience: Prior experience as an Executive Assistant, Administrative Assistant, or Operations Coordinator. Experience within financial services, wealth management, or an SEC RIA environment is highly preferred but not required.
- Tech Savviness: Proficiency with executive tech stacks (e.g., Microsoft 365/Outlook, Google Workspace, CRM systems like Redtail, Orion, OnceHub, FMG Suite, etc.).
- Communication: Exceptional written and verbal communication skills, with the ability to mirror the President's professional tone.
- Discretion: Absolute commitment to maintaining confidentiality regarding sensitive financial data and client information.
- Proactivity: A self-starter mindset capable of anticipating needs and solving minor operational bottlenecks independently.
