Primary Purpose
Assist the Director of School Nutrition by coordinating operational projects, overseeing vendor and contract relationships, and guiding procurement processes. Collaborate with stakeholders to manage timelines and documentation, analyze project data, and ensure efficient, compliant operations that safeguard resources and enhance service delivery across the district.
Qualifications
Education/Certification
- Bachelor’s degree from an accredited college or university in business administration, operations management, public administration, or a related field.
- Preferred: Certified Texas School Business Official (CTSBO) or related certification.
Special Knowledge/Skills
- Strong project management and organizational skills.
- Knowledge of procurement regulations, contract administration, and vendor performance management.
- Ability to develop, implement, and monitor standard operating procedures.
- Ability to analyze data, prepare reports, and recommend operational improvements.
- Strong interpersonal, written, and verbal communication skills.
- Knowledge of inventory and warehouse operations.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and food service software applications.
Experience:
- 3 years’ experience in operations, procurement, vendor/contract management, or project management.
- Experience in school district, government, or large-scale food service operations preferred.
- Supervisory or leadership experience required.
Major Responsibilities and Duties:
Project & Process Management
1. Coordinate and manage operational projects, including planning, execution, timelines, and completion.
2. Collect, track, and analyze project data to support successful project outcomes.
3. Develop, implement, and update standard operating procedures to improve consistency and efficiency.
4. Ensure compliance with federal, state, and district policies and regulations related to operations and procurement.
5. Prepare and maintain accurate documentation to support audits, accountability measures, and operational reporting.
Vendor & Contract Oversight
6. Manage vendor relationships to ensure service quality, timely delivery, and contract compliance.
7. Support competitive bid proposal and quotation processes in collaboration with the Director and Buyer.
8. Assist with contract renewal, amendments, and vendor performance reviews.
9. Resolve vendor-related issues, including delivery problems, product quality concerns, and contract disputes.
Procurement & Inventory Oversight
9. Work closely with the Buyer to align procurement and inventory practices with departmental needs.
10. Provide guidance and oversight to manage purchasing and inventory systems effectively.
11. Oversee logistics of ordering, receiving, and distributing supplies to campuses in coordination with warehouse staff.
12. Monitor procurement of USDA commodities and ensure entitlement usage and compliance.
13. Review vendor performance and product quality with the Buyer to confirm compliance with specifications.
14. Support the development of ordering cycles to ensure product availability in advance of menu and operational needs.
15. Assist in documenting purchases, inventory, rebates, discounts, and promotions to ensure accurate financial tracking.
Operational Support
16. Assist the Director with operational budget tracking and monitoring.
17. Coordinate with warehouse, maintenance, and other staff to ensure timely repair, replacement, and delivery of goods and equipment.
18. Safeguard departmental resources, including equipment, supplies, and inventories.
19. Provide training and guidance to staff on operational procedures, compliance expectations, and vendor interactions.
20. Perform other duties as assigned by the Director of School Nutrition.
