The School District of Waupaca is looking for a talented secretary to support the efficient and effective operation of the Waupaca Middle School (WMS). This position serves as the Assistant Office Manager and a key partner to the WMS Administrator in both daily operations and strategic initiatives. The role requires working in a fast-paced environment, demonstrating creative thinking, visionary leadership, and the ability to anticipate challenges before they arise. Strong communication skills, collaborative spirit, and the capacity to delegate effectively are essential. This position is a 192 day position. A high school diploma is required. Google suite experience is preferred. The current starting pay for this position is $16.50 /hour, but may vary depending on experience.

POSITION DESCRIPTION

CLASS II SECRETARY

ORGANIZATIONAL RELATIONSHIPS

To serve as a dedicated first point of contact for the school community, managing essential operations that foster a safe, organized, and supportive atmosphere for every student’s growth.

GENERAL PERFORMANCE RESPONSIBILITIES

1. Promote a positive image of the District at all times

2. Engage with the community to develop a sense of context and an understanding of its history.

3. Greet and direct visitors in a kind and professional manner

4. Take initiative to complete tasks independently

5. Be an effective communicator and assist with daily building communications

6. Administrative assistant to the Building Administrators.

7. General office duties (sorting/receiving/sending mail, making copies, managing purchase orders, collecting fees, record keeping, room scheduling, maintaining student files, managing a multi-line phone system, monitoring cameras, creating and/or proofreading a variety of communications)

8. Attendance tracking and scheduling students in Infinite Campus.

9. Prepare correspondence and forms/attendance reports

10. Update information to maintain current data on students and staff

11. Maintain staff attendance/substitutes

12. Manage school activities/field trips using Google Calendar

13. Knowledge of office machinery, photocopying, typing, laminating, etc.

14. Support District Administrative Team with posting school board and Governance Council meeting agendas

15. Maintain flexibility, as each day is different, and also with your work schedule.

16. Assist School Staff as necessary.

17. Respond to many other day-to-day inquiries, both internal and external.

18. Maintain confidentiality and loyalty to the employer.

19. Other duties as assigned

QUALIFICATIONS

  • High School Diploma, Associate and/or Bachelor’s degree.
  • Coursework and/or experience with current technological practices.
  • Demonstrated aptitude or competence for assigned responsibilities.
  • Excellent communication skills.
  • Good understanding of social media and public relations.
  • Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

PHYSICAL DEMANDS

The physical requirements indicated below are examples of the physical aspects that this position classification must perform in carrying out essential job functions.

1. Persons performing service in this position classification will exert 10 to 20 pounds of force frequently to lift, carry, push, pull or otherwise move objects. This type of work involves sitting most of the time, but may involve walking or standing for brief periods.

2. Perceiving the nature of sound, near and far vision, depth perception, providing oral

information, the manual dexterity to operate business related equipment, and handling and

working with various materials and objects are important aspects of this job.

3. The employee shall remain free of any alcohol or illegal substance in the workplace in

compliance with Policy 4122.01 throughout his/her employment in the District.

TERMS OF EMPLOYMENT & EVALUATION

1. As set forth in the Support Staff Handbook.

2. The work day shall be established by the supervisor but shall be at least 7.5 hours per day, but shall not exceed 8 hours per day, excluding 1⁄2 hour for a duty free lunch, unless other arrangements are made by the supervisor. Work days of 5 hours per day or less shall not have a scheduled lunch period.

a. The yearly number of days worked in a school fiscal year shall normally be 192 days

unless a reduced yearly work schedule is approved by the District Administrator.

b. General working hours are Monday through Friday, 7:15 a.m. to 3:15 p.m.; however,

this person may be required to attend some weekend and evening events.

3. Support Staff report to the Building Principal.

4. The District offers a competitive starting wage, based on experience.

5. Performance of this job will be evaluated in accordance with provisions of the Board's Policy on Evaluation of Support Services Personnel.
