This position plays an important role in the management and processing of Minnesota foreclosure files, beginning with new file intake and title order receipt and continuing through the required foreclosure processing steps. The Legal Assistant will work cross-functionally with our Foreclosure and Title Departments to ensure files are accurately established, required documentation is obtained, deadlines are monitored, and foreclosure milestones are completed timely and accurately.

As one of the first points of contact for new Minnesota foreclosure files, the Legal Assistant will collect and review client file information, obtain initial documentation, enter and maintain information within internal and client systems, and help move files efficiently through the foreclosure process.

The ideal candidate is organized, dependable, comfortable working in a deadline-driven legal environment, and committed to providing a “best-in-class” service experience to our clients and internal teams.

Key Responsibilities

  • Accurately collect, review, and process initial foreclosure file information and documentation received from clients.
  • Establish new files and perform accurate data entry within the firm's case management system and applicable client portals.
  • Review incoming documentation for completeness and identify missing or additional information needed to move the file forward.
  • Monitor new file intake statuses and ensure files are properly assigned and transitioned for foreclosure processing.
  • Initiate and monitor title orders and related title activities.
  • Review title information and ensure complete and accurate title summary reports and supporting documents are uploaded to the appropriate case file.
  • Send requests to clients, vendors, title companies, and other parties to obtain necessary supporting documentation.
  • Follow up on outstanding documentation and information to prevent unnecessary delays.

Foreclosure Processing & Attorney Support

  • Assist the Minnesota attorney with the processing and administration of foreclosure files from intake through applicable foreclosure milestones.
  • Prepare, process, and maintain foreclosure-related documents, correspondence, notices, and file information.
  • Monitor file activity, deadlines, and required foreclosure steps to ensure matters progress timely and in accordance with established procedures.
  • Maintain accurate and current information within the firm's case management system and client systems.
  • Escalate file issues, documentation deficiencies, title concerns, or other exceptions to the appropriate attorney or team member.
  • Provide administrative and file management support to the Minnesota attorney as needed.
  • Work collaboratively with the firm's Foreclosure, Title, and other operational teams to ensure seamless file progression and client service.
  • Respond professionally and in a timely manner to client and internal inquiries.
  • Perform routine administrative and clerical duties as assigned.
  • Complete other duties and special projects as assigned by supervisor(s).

Required Qualifications & Skills

  • High school diploma or equivalent required; Associate's degree or higher preferred.
  • 1–3 years of experience in a legal, foreclosure, mortgage servicing, title, or related environment preferred; however, we are willing to train the right candidate.
  • Prior foreclosure intake, title order, or legal file processing experience is a plus.
  • Strong written and verbal communication skills.
  • Excellent organizational and time-management skills.
  • Strong attention to detail with a commitment to accuracy.
  • Ability to manage multiple files, priorities, and deadlines simultaneously.
  • Strong analytical and problem-solving skills.
  • Comfortable learning and navigating multiple computer systems, case management platforms, and client portals.
  • Basic proficiency with computers and standard office technology.
  • Ability to work independently while also collaborating effectively within a team environment.
  • Ability to handle confidential and sensitive information professionally.
  • Strong client-service mindset and commitment to timely, accurate work.
