Job Description:
The Proposal Coordinator supports the Business Development (BD) Services team with the development of qualifications materials, including proposals, SOQs, presentations and other materials necessary to secure new client and project opportunities. This position reports to the BD Services Manager and works closely with key members of each business unit and the Creative Services Team. The ideal candidate will be in the Chadds Ford, PA; Rockville, MD; Richmond, VA; Blacksburg, VA; Nashville, TN; or Wilmington, NC area. Other locations may be considered. The ideal candidate will also follow a hybrid schedule several days a week.
Job Responsibilities:
- Collect, organize, and develop proposal content, including layout, resumes, and project profiles.
- Coordinate the proposal process with key team members, focusing on administrative and logistical aspects.
- Support the proposal lifecycle, including planning, content development, and submission.
- Lead subconsultant proposal requests and ensure compliance with best practices.
- Serve as the primary contact for clients during the proposal process.
- Proofread proposals and marketing documents.
- Work within Creative Services templates and frameworks.
- Manage resource allocation to meet deadlines.
- Develop and maintain boilerplate materials, project lists, resumes, and project profiles.
- Support development and editing of presentations for shortlist interviews.
- Maintain business development information in Deltek Vantagepoint.
- Collaborate with business unit members on business development, proposal strategy, and client management.
- Ensure alignment with brand standards and firm-wide messaging themes.
- Support other business development tasks as needed.
Required Skills/Experience:
- Effective teamwork skills.
- Strong written and verbal communication.
- Excellent organizational skills for managing timelines, resources, and tasks.
- Ability to lead and coordinate cross-functional teams.
- Capability to analyze solicitation documents and RFPs.
- Proficiency in Adobe InDesign/Creative Suite and MS Office.
- Strong database management skills.
- Willingness to work extra hours to meet deadlines and travel for meetings.
Preferred Experience:
- Bachelor's degree in liberal arts, communications, or marketing.
- 3 years of experience in proposal development, preferably in the AEC industry.
- Deltek Vantagepoint experience.
Other Requirements:
- Ability to pass a background check which may include criminal history, motor vehicle record and credit check
- Ability to pass a pre-employment drug screening
The compensation range for this position is between $68,000 to $90,000. Compensation for this position may vary based on geographic location and other factors. We remain committed to providing competitive and equitable compensation to all employees, regardless of their location.
