Description
The Compliance Clerk – Events & Contracts plays a key role in ensuring all event- and workshop-related agreements comply with company policies, insurance requirements, and budget parameters. This position will be responsible for reviewing event and meeting contracts, verifying supporting documentation (insurance, waivers, credit applications), maintaining accurate compliance records, and tracking performance metrics related to event operations and expenditures. The ideal candidate is detail-oriented, highly organized, and comfortable managing multiple contracts, dashboards, and follow-ups simultaneously.
- Review and verify event and workshop contracts, ensuring compliance with company policies and legal requirements.
- Coordinate and track credit applications, ensuring timely completion and accurate documentation.
- Review insurance certificates to confirm adequate coverage and compliance with venue or event requirements.
- Auditing company credit cards and event waivers for company-hosted or sponsored activities, ensuring accurate and well-organized digital records.
- Review and reconcile final event invoices, ensuring all terms, rates, and charges align with approved contracts.
- Review commissions log and follow up on outstanding items, one-off payments, and missing documentation to ensure data integrity.
- Maintain and audit compliance spreadsheets and dashboards for accuracy, completeness, and current status of contracts, approvals, and renewals.
- Record and track corporate reward point usage (hotels, flights, etc.) to ensure accurate reconciliation and reporting.
- Prepare compliance summaries, reporting metrics, and support internal or external audit requests.
- Communicate with internal departments (Legal, Travel, Education, Finance) and external vendors to gather and verify required documentation.
- Support continuous improvement of event compliance workflows, reporting systems, and recordkeeping practices.
- Provide administrative support for ad-hoc compliance and financial tracking projects.
Requirements
- Associate’s degree in Business Administration, Legal Studies, or related field (Bachelor’s preferred).
- 2–4 years of experience in contract administration, compliance, or event coordination.
- Strong understanding of contract terms, insurance requirements, and vendor agreements.
- Excellent attention to detail and ability to manage multiple priorities.
- Proficient in Microsoft Office (Excel, Word, Outlook) and dashboard/reporting tools (e.g., Power BI, SharePoint).
- Strong written and verbal communication skills.
