What are the responsibilities and job description for the Fulfillment Coordinator position at Scheduling Institute?
Role Overview:
This role supports the execution engine behind sequences, marketing mailer, events as well as other Sequence Center functions. It ensures materials, systems, and logistics are aligned seamlessly, with accurate data, timely shipments, and a fully prepared environment.
Key Functions:
Fulfillment & Mail Operations
- Prepare, package, and distribute sequence materials and physical mailers
- Print labels and coordinate daily outbound shipments
- Serve as point of contact for returned mail workflows as the process evolves
Systems & Task Execution
- Complete one-off operational tasks within NetSuite and Trello
- Maintain accuracy and follow-through across all assigned workflows
Event Logistics & Preparation
- Assemble registration folders for all events
- Build membership engagement and blackout calendars for registrants and guests to support attendance and scheduling
- Support additional event preparation activities as needed
Assessments Readiness for 10-2-10, Discovery Days, Strength Builder, and PRINT Trainings
- Drive completion of assessments and surveys for programs including 10-2-10, Discovery Days, Strength Builder, and PRINT Trainings
- Coordinate with internal teams and clients to ensure all assessments are completed on time
- Ensure materials are ready based on completion status and deadlines
Inventory & Facility Support
- Maintain inventory across the Sequence Center and event materials
- Keep kitchens and conference rooms stocked and organized
- Track supply levels and initiate reorders as needed
Financial & Administrative Support
- Code and reconcile Sequence Center expenses on American Express accounts
