Position Summary

Scenic Automotive Group is seeking a dependable, organized, and detail-oriented Administrative Assistant to join our team. This position plays a vital role in supporting the daily operations of our dealership by assisting with Human Resources, Payroll, Accounts Payable, Title Processing, and a variety of administrative functions. The ideal candidate is a team player who thrives in a fast-paced environment, maintains confidentiality, and is willing to assist wherever needed.

Key Responsibilities

  • Prepare and process vehicle title work, registration paperwork, and related documentation in compliance with state regulations.
  • Provide administrative support to dealership management and office staff.
  • Backup to Assist with Human Resources functions, including new hire onboarding, employee files, benefits administration, and maintaining confidential personnel records.
  • Backup to Process weekly or bi-weekly payroll, ensuring accuracy and timely submission.
  • Backup Maintain payroll records and assist with payroll reporting and employee payroll inquiries.
  • Maintain organized electronic and paper filing systems.
  • Answer phones, greet customers and vendors, and provide professional customer service.
  • Prepare reports, correspondence, and spreadsheets as needed.
  • Order office supplies and maintain office inventory.
  • Cross-train in multiple office functions and provide coverage for administrative staff during vacations, absences, or peak business periods.
  • Assist with special projects and perform additional administrative duties as assigned.

Qualifications

  • High school diploma or equivalent required; associate degree or higher preferred.
  • Minimum of 2 years of administrative or office experience; automotive dealership experience is preferred.
  • Experience with payroll processing, Human Resources, Accounts Payable, and/or automotive title work is highly preferred.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities while meeting deadlines.
  • Excellent communication and interpersonal skills.
  • Proficiency with Microsoft Office (Word, Excel, Outlook); dealership management system experience is a plus.
  • Ability to handle confidential information with discretion and professionalism.
  • Positive attitude, strong work ethic, and willingness to learn and assist across departments.
