Summary
The Maintenance Administrator is responsible for supporting plant operations through maintenance planning, purchasing, inventory management, vendor coordination, and work order administration. This position works closely with the Maintenance Supervisor, General Manager, Operations, and Accounting teams to ensure maintenance resources, parts inventory, and purchasing activities are effectively managed to support safe and efficient production.
This position has a direct responsibility for food safety.
Essential Functions
- With direction from Maintenance Supervisor, create scheduled maintenance records for specific pieces of equipment and/ or tasks that need to be completed on a scheduled basis. Responsible for a weekly Work Order Status Update to be sent to the Maintenance Supervisor , and General Manager.
- Process purchase order requisitions, contact vendors to purchase items on requisitions. Research least cost options of parts through existing vendors or through set up of new vendors.
- Work with General Manager to get approval on requisitions so that monthly budget numbers are met.
- Work in Microsoft Navision to create Purchase Orders for items to be purchased. Also works with accounting to ensure necessary vendors are set up in Navision so that purchase orders can be issued.
- Receive purchased items & ensure shipping documentation matches purchased & received items. Work with accounting to ensure purchase orders match invoices for purchased items.
- Manage vendors and small projects.
- Continuously improve inventory control system, process flow, and other systems related to the managing of parts and inventory levels.
- Complete all training for OSHA compliance, Hazmat and MSDS requirements & regulations (i.e. Lockout/Tagout, Fall Protection/Confined Space, Respiratory Protection, Ammonia Control, Hot Work, Emergency Response and Evacuation, etc.).
- Must have open availability to work a flexible schedule when production requires including; ability to work entire shift, extended shift hours, weekends, holidays, & required overtime in accordance with Oregon State laws.
- Perform other related duties as assigned.
Necessary Knowledge, Skills and Abilities:
- Minimum of 1 year of related experience and/or training in food processing environment.
- Ability to use hand tools & trades type tools, strong understanding of mechanical systems and their parts.
- High mental and visual effort required. Particular emphasis on safety for self and others.
- Competent in using and learning computer programs, such as Microsoft Word, Excel, MPulse, Navision.
- Experience writing and implementing Operating Procedures, or Repair Orders a must.
- Ability to analyze and problem solve effectively, have good interpersonal skills, communicate and interface effectively in a team environment. Strong attention to detail, organized.
- Must have current drivers license and good driving record, able to become forklift certified.
