What are the responsibilities and job description for the Executive Operations Coordinator (Executive Assistant to CEO) position at Scenario Trainer?
This is not a typical administrative role. This position works closely with company leadership and plays a key role in helping the organization operate efficiently and grow.
HELP BUILD THE FUTURE OF SCENARIO-BASED TRAINING
Some companies build products.
Others build movements.
Scenario Trainer Inc. develops advanced training systems used by law enforcement and military units to prepare for real-world threats. Our technologies simulate gunfire, explosions, and complex tactical environments so agencies can conduct scenario-based training that is more realistic, safer, and more effective.
Our mission is simple but important: help those who protect others be better prepared.
We are building a new kind of company around that mission—one that combines hardware innovation, operational discipline, AI-driven systems, and global collaboration to move faster and serve our customers better than traditional companies in our industry.
To support that growth, we are seeking an Executive Operations Coordinator (Executive Assistant to CEO) who will work closely with the CEO and Business Manager to help bring clarity, organization, and momentum to the daily operations of the company.
WHY THIS ROLE EXISTS
Growth creates opportunity—but it also creates noise.
Emails multiply. Orders move quickly. Suppliers need coordination. Quotes need attention. Opportunities appear daily.
Without the right operational support, leadership can become buried in activity instead of focused on the highest-value work that moves the company forward.
This role exists to help solve that.
The Executive Operations Coordinator helps create order, protect leadership focus, and ensure important operational priorities move forward efficiently.
This role helps free up leadership to focus on:
- major customer relationships
- strategic growth initiatives
- product innovation
- operational improvements
- high-impact initiatives that move the company forward
WHAT YOU'LL BE DOING
You will work directly with the CEO and Business Manager in our Cleveland office and become a central coordination point for many aspects of daily operations.
Responsibilities include:
- Managing and organizing leadership inbox communications
- Coordinating meetings and maintaining leadership calendars
- Assisting with quote preparation and order coordination
- Coordinating purchasing and supplier communication
- Helping organize sourcing and vendor relationships
- Tracking operational tasks and project follow-through
- Ensuring important items do not fall through the cracks
- Supporting leadership with special projects and operational initiatives
You will help ensure the company operates with clarity, focus, and execution.
THE KIND OF PERSON WHO THRIVES HERE
This role is ideal for someone who naturally brings order to complexity and enjoys helping people and organizations operate at their best.
You may thrive here if you are someone who:
- notices what needs attention before others do
- enjoys organizing moving parts and improving systems
- values humility, service, and helping others succeed
- is curious about technology and how things work
- enjoys solving problems instead of waiting for instructions
- appreciates meaningful work that serves a larger purpose
We are especially interested in people who have a genuine interest in technology, innovation, and learning how products are built, even if your background is in operations or coordination rather than engineering.
You will be close to the heartbeat of the company—seeing how products are developed, how customers are served, and how a growing organization operates.
CULTURE OF STEWARDSHIP
Scenario Trainer believes business can be a force for good.
We aim to build a company that operates with integrity, humility, and a strong sense of stewardship. Our work supports people who protect others, and we take that responsibility seriously.
We value team members who:
- take ownership of their responsibilities
- operate with humility and integrity
- care about helping others succeed
- pursue excellence without ego
- see their work as contributing to something meaningful
Leadership also believes that success creates opportunities to give back. As the company grows, we want to support initiatives that strengthen families, communities, and causes that serve people well.
The right person for this role will appreciate being part of a company that values both excellence in work and purpose beyond work, and who sees their career not only as a job but as an opportunity to contribute to something worthwhile.

WHAT MAKES THIS OPPORTUNITY UNIQUE
Many support roles are reactive.
This role is proactive.
Many positions operate on the edges of a company.
This one sits close to leadership and touches many areas of the business.
Many jobs ask you to maintain systems.
This role allows you to help build and improve them.
As Scenario Trainer continues to grow, this role has the potential to evolve into larger operational or leadership support responsibilities.
WHO THIS ROLE IS NOT FOR
This role is not a good fit for someone who prefers highly structured environments where responsibilities are narrowly defined.
It is also not ideal for someone who prefers purely administrative work without taking initiative or ownership.
Because this position works closely with leadership in a fast-moving company, it requires someone who is comfortable managing multiple priorities, solving problems proactively, and helping create systems rather than simply maintaining them.
If you enjoy helping leaders operate at a higher level, bringing order to complexity, and contributing to a growing organization with meaningful work, this role may be an excellent fit.
