As the Executive Assistant – Board Support at our Melbourne Headquarters you will play a critical role in supporting effective governance by coordinating Board and Committee operations, preparing high-quality materials, and ensuring adherence to established standards. This position partners closely with executive leadership to manage meeting logistics, maintain governance documentation, and drive consistency across processes. The role also leverages AI and digital tools to enhance efficiency, reduce manual effort, and improve accuracy. Executive Assistant, Board Support Key Responsibilities
- Coordinate Board and Committee calendars, meetings, logistics, and new member orientation.
- Prepare, assemble, and manage Board and Committee materials, including policies and bylaws documentation.
- Support agendas, minutes, action items, and follow-up tracking to ensure effective governance processes.
- Maintain strict standards of confidentiality, professionalism, and governance compliance.
- Follow, maintain, and continuously improve Board support procedures and documentation.
- Leverage AI and digital tools (e.g., Copilot, templates, automation) to enhance efficiency, accuracy, and consistency.
- Identify opportunities to streamline governance processes and recommend improvements.
- Ensure delivery of high-quality, timely materials while building strong trust with Board members and executive leadership.
Executive Assistant, Board Support Requirements:
Education and Training
- High School plus additional course work gained through attendance at vocational, technical or business school or equivalent experience
Prior Experience:
- 3 to 5 years prior experience in an executive administrative support position, preferably supporting multiple executives. Expert proficiency with Microsoft Office (Power Point, Excel, Word, Outlook and Visio); ability to design and edit executive presentations and materials. Experience working with Boards of Directors preferred.
Executive Assistant Compensation:
- $66,650 to $70,583
