What are the responsibilities and job description for the Front Desk Receptionist position at Scarletts Collision Center?
Responsibilities:
This position is the smiling face and helpful voice of Scarlett’s Collision Center. Our clients are typically experiencing an overwhelming and emotional time when they’ve been in a wreck or damaged their vehicle. Whether it is face-to-face or over the phone your responsibility is to portray the friendly, helpful atmosphere of the Scarlett’s Collision Center family to every person you encounter.
Main Roles:
· Welcome Wagon - Woot Woot! You’re the first person a customer sees so be ready to greet them with a smile and great attitude and assist them in whatever they need.
· Answer all incoming phone calls with a smiling face.
· Effectively communicate with customers, insurance adjusters, insurance companies, and part suppliers to communicate the most up to date information pertaining to their situation.
· Take notes, notes and more notes – when someone calls we want documentation of it.
· Follow up with clients who have chosen Scarlett's Collision Center and set appointments for estimates and repair dates. Retrieve mail daily
· Receive inventory from suppliers, confirm packing list, and match receiving ticket with appropriate invoices and label parts with job information.
· File all paperwork – we love organized paperwork!
· Track stock levels of all office supplies and place supply orders
· We believe in grateful hearts and the best way to say that is thank you notes! Be prepared to write them!
· Track all team member birthdays and work-iversaries
· Responsible for making sure the reception area is in tip top shape.
Requirements:
· Highly competent with technology and software including:
o Microsoft Office
o Gmail
· Experience utilizing QuickBooks
Job Type: Full-time
Pay: $12.00 - $16.00 per hour
Education:
- High school or equivalent (Preferred)
Experience:
- Customer service: 3 years (Required)
- QuickBooks: 1 year (Preferred)
Work Location: In person
