The Job
We are seeking a seasoned and strategic Senior Executive Assistant to serve as a trusted partner to our President & CEO. This role is far more than calendar management—it is an opportunity to operate at the highest levels of executive support and influence, ensuring the CEO’s time, communications, and priorities are flawlessly executed to drive the organization’s mission forward.
As a key member of the executive office, you will not only ensure seamless day-to-day operations, but also foster alignment across the leadership team, and help translate vision into action. You Will
Strategic Executive Support
• Serve as a high-level liaison and trusted advisor to the CEO, anticipating needs and delivering proactive, strategic administrative support.
• Manage and optimize the CEO’s complex calendar, priorities, and communications to ensure focus on high-impact initiatives.
• Facilitate the preparation and briefing of all CEO engagements, including board meetings, media appearances, and internal leadership sessions.
• Coordinate domestic and international travel with precision, ensuring seamless experiences and contingency planning.
Communications & Executive Correspondence
• Draft, edit, and manage high-level communications, presentations, and reports on behalf of the CEO.
• Ensure clear, timely, and consistent internal and external messaging aligned with the CEO’s voice and the organization’s strategic objectives.
• Exercise exceptional judgment in the handling of sensitive, confidential, and time-sensitive information.
Meeting & Event Leadership
• Plan, organize, and execute high-stakes meetings, strategic offsites, and executive retreats with excellence in logistics, materials preparation, and follow-up.
• Lead the development and dissemination of meeting agendas, summaries, and action items, ensuring accountability and follow-through across stakeholders.
Project & Initiative Management
• Support and manage key special projects and strategic initiatives on behalf of the CEO and Chief of Staff.
• Develop and maintain systems to track progress, deliverables, and timelines for projects critical to organizational performance.
Executive Office & Stakeholder Engagement
• Oversee the smooth functioning of the executive office and cultivate a professional, welcoming, and high-performing environment.
• Serve as a leader and mentor within the organization’s administrative team, fostering a strong community of practice among executive assistants.
• Promote the CEO’s internal and external brand presence with professionalism, consistency, and strategic alignment.
Other duties as assigned.
Your Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field; advanced degree preferred.
- Minimum of 8 years of progressive experience supporting C-level executives, specifically CEOs, ideally in a complex or mission-driven organization.
- Exceptional organizational skills and the ability to manage competing priorities with grace, speed, and attention to detail.
- Outstanding written, verbal, and interpersonal communication skills, with the ability to represent the CEO and organization with discretion and credibility.
- Demonstrated leadership in managing or mentoring administrative professionals or executive support teams.
- Advanced proficiency in Microsoft Office Suite and digital collaboration tools (e.g., Microsoft Teams, CoPilot, Zoom).
- High emotional intelligence, executive presence, and a proactive, solution-oriented mindset.
- Unwavering commitment to confidentiality, discretion, and professional integrity.

- Work Mode: Mostly Onsite (In the Long Beach, CA office 2- 3 days a week Tuesday, Wednesday, and as needed)
