POSITION PURPOSE

The Purchasing Coordinator is responsible for performing the duties in the receiving area, ordering hospital supplies and equipment, meeting with sales representatives, maintaining inventory at appropriate levels, assisting Accounts Payable, and contributing to the overall purpose and objectives of the hospital. The Purchasing Coordinator works closely with the Purchasing Agent and other Purchasing teammates.


DUTIES AND RESPONSIBILITIES
  • Assesses daily materials needs and orders supplies as required to maintain adequate supplies to facilitate the smooth operation of surgical cases.
  • Continually reviews existing levels of stock and supplies, increasing or decreasing order levels when needed
  • Maintains accurate purchase orders.
  • Keeps accurate records of price quotes and purchased items
  • Prepares RMAs and other appropriate paperwork for repairs and recalls.
  • Assists AP in reconciling receipts and pricing discrepancies with invoices.
  • Receives, inspects, signs for, and delivers supplies and equipment to appropriate areas.
  • Maintains a coordinated, organized and safe work area
  • Participates in the Quality Improvement process and activities including the areas of Safety, Adherence to Guidelines for Sterilization of Instruments and Supplies, Patient Satisfaction, Physician Satisfaction, Compliance with OSHA Standards, and Risk Management.
  • Participates in staff meetings.
  • Assists in the orientation of new employees with reference to supplies and the Receiving Area.
  • Attends in-service programs when appropriate.
  • Develops and maintains personal skills by keeping up with current required trainings and developments.
  • Demonstrates competency in performing job tasks and in operating equipment on an annual basis.

RESPONSIBILITY FOR ASSETS

  • Responsible for proper maintenance and use of computers and material equipment (pallet jack, carts, shelving)

POSITION REQUIREMENTS

License or Certification:
  • High school graduate or GED required.
Total Education, Vocational Training, and Experience:
  • Bachelors degree preferred in Supply Chain, Business, or other related subject.
  • Knowledge and experience in hospital or ambulatory surgery center supply chain preferred. Requires effective interpersonal and customer communication and interaction. Ability to manipulate Excel spreadsheets. Problem solving skills necessary to account for Purchasing side of invoice payments.
