Key ResponsibilitiesAccounts Receivable & Collections
- Accept resident payments, maintain cash logs, and ensure accurate and timely posting
- Balance cash logs with posting journals and submit required reports to the home office
- Collect private pay, Medicaid, and other balances owed
- Develop and follow collection plans to resolve outstanding balances
- Ensure timely deposits of all collected funds
Resident Billing & Records
- Manage resident accounts including move-ins, move-outs, transfers, rate changes, and deposits
- Prepare and distribute resident statements and billings
- Maintain accurate records for respite residents in compliance with company and state standards
Accounts Payable & Payroll Support
- Receive, review, code, and enter invoices accurately and timely
- Maintain vendor files and develop positive vendor relationships
- Process new hire paperwork, employee changes, and terminations
- Maintain employee and training files
Office & Administrative Support
- Maintain petty cash and complete weekly reconciliations
- Prepare timely bank deposits
- Assist with monthly accounting close in coordination with the home office
- Maintain office supply inventory and budget
- Assemble and maintain confidential resident and employee files
- Ensure hiring and onboarding documentation is complete and compliant
- Maintain emergency contact lists and critical service provider records
- Ensure all operational documents are current and professional in appearance
Customer Service & Team Support
- Serve as a welcoming point of contact for residents, families, staff, and visitors
- Support department leaders with staffing coordination and scheduling input
- Ensure excellent customer service standards are upheld throughout the community
- Assist with recruitment, onboarding, and retention initiatives
Minimum Qualifications
- 1–3 years of experience in accounts receivable, healthcare billing, or revenue cycle management
- Strong computer proficiency, including Microsoft Excel, Word, and other MS Office programs
- Excellent mathematical, organizational, and attention-to-detail skills
- Ability to manage multiple priorities and meet deadlines
- Strong interpersonal and communication skills
- High level of integrity, confidentiality, and professionalism
- Ability to work independently and as part of a team
- Valid driver’s license
- Ability to pass background and health screenings
- Ability to perform essential job functions with or without reasonable accommodation
Work Environment & Schedule
- Full-time, on-site administrative role 8:00 a.m. - 5:00 p.m.
- Frequent interaction with residents, families, and staff
- Fast-paced environment with regular interruptions
- Occasional on-call support during emergency situations
- Professional business attire required
