SUMMARY

This role is responsible for production planning, materials management, purchasing, and inventory control to support efficient plant operations. The position ensures creation and alignment between production schedules, material availability, and operational capacity while maintaining high standards of accuracy, efficiency, and performance.

The role works closely with internal departments to drive effective planning and execution across the supply chain, ensuring materials are sourced, scheduled, and delivered to meet production demands. Key responsibilities include developing production schedules, managing purchasing activities, optimizing inventory levels, and monitoring key performance indicators to achieve business objectives.

Supply Chain Responsibilities

· Plan, direct, and coordinate daily material flow operations to meet cost, quality, and production requirements; establish short-term planning objectives

· Source, evaluate, and select suppliers; obtain pricing, specifications, and negotiate terms and agreements

· Prepare, issue, and manage purchase orders for raw materials, MRO, and operational supplies based on production needs and inventory levels

· Verify supplier order acknowledgements, pricing, and invoices for accuracy against quotes and bids

· Coordinate inbound material scheduling and monitor supplier performance to ensure on-time delivery

· Maintain accurate material master data, including creation and updates of part codes within the ERP/MRP system

· Manage supplier documentation, including sales tax exemption forms and onboarding of new suppliers

· Communicate supplier performance metrics (e.g., on-time delivery, PPM) and address delivery or quality issues proactively

Production Planning & Scheduling

· Plan, direct, and coordinate daily production scheduling activities to meet operational and customer requirements

· Develop, maintain, and distribute detailed production schedules across all departments

· Analyze capacity constraints (labor, equipment, materials) and adjust production plans accordingly

· Monitor execution of work orders and material flow to ensure adherence to production schedules

· Create, release, and close work orders in accordance with established procedures

· Identify scheduling risks and communicate long-term capacity needs to leadership

· Review and adjust production schedules as needed; communicate changes to operations and other teams

· Investigate production control issues, perform root cause analysis, and implement solutions

· Process and enter customer purchase orders accurately into production systems

· Verify order details, resolve discrepancies, and confirm order acknowledgements with customers

· Respond to customer inquiries regarding product availability, order status, delivery timelines, pricing, and service issues

Inventory Management

· Determine and maintain accurate material locations within the ERP system

· Lead cycle count programs, including scheduling, execution, variance investigation, and reporting

· Manage inventory reconciliation processes, investigate discrepancies, and execute system adjustments as needed

· Analyze inventory data to establish and maintain appropriate reorder points

· Support annual inventory reviews, including identification and write-off of obsolete materials

Customer Service

· Correspond with customers concerning requests for information regarding service or product availability, delivery, pricing, billing, status of accounts, or other matters in a manner that will maintain good customer relations.

· Confer with other departments as necessary to obtain and provide information to customers.

Process Improvement & Analysis

· Drive continuous improvement initiatives in inventory management, warehousing, and material flow using sound economic decision-making

· Compile and analyze production and material usage data to improve planning accuracy and operational efficiency

· Determine and update appropriate system parameters to assist in determining and controlling raw material order sizes and frequency to improve overall supply chain efficiencies and costs.

Cross-Functional Coordination

· Work closely with other departments to prevent material shortages and excess inventory

· Assist production supervisors in executing schedules and resolving operational issues

· Collaborate with production, warehouse, and leadership teams to align material availability with production schedules

· Communicate effectively with internal departments and external partners to support operations and maintain strong relationships

· Provide timely updates, reports, and follow-up on projects, deliverables, and operational status

Compliance, Safety & Standards

· Ensure compliance with company policies, safety standards, and applicable regulations

· Identify and address safety hazards; promote a safe and organized work environment

· Maintain housekeeping standards and enforce use of required personal protective equipment (PPE)

General

· Maintain a positive, professional working relationship with team members

· Stay informed of factors impacting domestic and international shipments

· Perform additional duties as assigned

QUALIFICATIONS

Education and/or Experience

A High School Diploma is required. Four years’ related experience and/or training in Supply Chain is preferred. Experience in production scheduling is highly preferred. Two years’ experience in a manufacturing environment is required.

· Production and Operations Knowledge – Understanding of production processes, raw materials, quality control standards, and cost optimization

· Administrative and Clerical Knowledge – Familiarity with office procedures, recordkeeping, and document management

· Mathematical Proficiency – Ability to apply arithmetic and basic mathematical concepts to problem-solving

· Computer and Systems Knowledge – Proficiency with computer systems, including Microsoft Office and ERP/MRP platforms. Epicor experience is preferred

· Coordination – Ability to effectively align actions with team members and cross-functional activities

· Communication Skills – Strong verbal, written, and active listening skills to convey and interpret information clearly

· Time Management – Ability to prioritize tasks and manage time effectively for self and others

· Leadership and Team Management – Capability to lead, motivate, develop, and direct employees

· Performance Monitoring – Ability to assess performance and implement improvements or corrective actions
