Key Responsibilities
- Administrative Support: Provide thorough administrative assistance to the CEO, including managing correspondence, inboxes, phone calls, and organizing meetings and appointments. Support daily operations with precision and discretion.
- Calendar Management: Oversee and coordinate the CEO’s calendar by scheduling and prioritizing meetings, managing conflicts, and safeguarding the CEO's time and focus.
- Communication: Act as a conduit between the CEO and internal employees and vendors. Respond to inquiries, draft emails, and prepare necessary documents and presentations.
- File Management: Systematize and maintain both digital and physical files, ensuring accuracy, accessibility, and strict confidentiality of sensitive information.
- Expense Management: Monitor and reconcile expenses, prepare expense reports, and assist with basic budgeting and financial organization.
- Project Support: Aid in various projects and initiatives by conducting research, tracking deliverables, coordinating timelines, and ensuring follow-through on action items.
- Relationship Management and Confidentiality: Develop and sustain positive professional relationships with partners, employees and vendors, representing the company with the utmost professionalism. Protect all sensitive information and maintain confidentiality at all times.
- Time Commitment: This position will start as part-time (approximately 20–25 hours per week). Flexibility is essential, including availability for urgent matters. There is potential for this role to transition to full-time based on fit, performance, and evolving needs.
