Job Overview

Savant Senior Living is on the lookout for a proactive Executive Assistant to the CEO, who will support the Founder/CEO and assist in managing the daily operations of our Senior Living chain. This position is perfect for individuals who can anticipate needs, address problems early on, and excel in a dynamic, creative, and high-accountability setting.

In this role, you will serve as a key coordinating point among internal teams, partners, and vendors. Your responsibilities will include managing schedules, communications, logistics, and projects with accuracy and discretion. There is potential for this position to evolve into a full-time role with flexible hours in Los Angeles.

Qualifications

  • Proficient in computer software and cloud storage solutions.
  • 2–3 years of experience in an executive assistant, administrative, or related role.
  • Exceptional organizational and time-management abilities, with a knack for juggling multiple priorities and deadlines.
  • A self-motivated individual with strong problem-solving skills and keen attention to detail.
  • Comfortable working independently while remaining in alignment with leadership.
  • High degree of professionalism, discretion, and trustworthiness.

Key Responsibilities

  • Administrative Support: Provide thorough administrative assistance to the CEO, including managing correspondence, inboxes, phone calls, and organizing meetings and appointments. Support daily operations with precision and discretion.
  • Calendar Management: Oversee and coordinate the CEO’s calendar by scheduling and prioritizing meetings, managing conflicts, and safeguarding the CEO's time and focus.
  • Communication: Act as a conduit between the CEO and internal employees and vendors. Respond to inquiries, draft emails, and prepare necessary documents and presentations.
  • File Management: Systematize and maintain both digital and physical files, ensuring accuracy, accessibility, and strict confidentiality of sensitive information.
  • Expense Management: Monitor and reconcile expenses, prepare expense reports, and assist with basic budgeting and financial organization.
  • Project Support: Aid in various projects and initiatives by conducting research, tracking deliverables, coordinating timelines, and ensuring follow-through on action items.
  • Relationship Management and Confidentiality: Develop and sustain positive professional relationships with partners, employees and vendors, representing the company with the utmost professionalism. Protect all sensitive information and maintain confidentiality at all times.
  • Time Commitment: This position will start as part-time (approximately 20–25 hours per week). Flexibility is essential, including availability for urgent matters. There is potential for this role to transition to full-time based on fit, performance, and evolving needs.
