Position Summary
Saval Foodservice is seeking a detail-oriented Night Warehouse Office Clerk to support night warehouse operations from our Elkridge distribution center. This is primarily a desk-based clerical role responsible for generating invoices, monitoring and resolving system alerts and flags, dispensing route manifests, and closing out the night's orders accurately and on time so that morning delivery routes leave complete and correct. The role also involves regular communication with drivers and general administrative work. The ideal candidate is comfortable working independently overnight, thrives on routine and accuracy, and can make sound approve/deny decisions within established guidelines. This is a Sunday through Thursday night schedule. Other duties may be assigned as needed to support the night operation.
Key Responsibilities
- Generate, review, and print customer invoices for the night's orders, ensuring accuracy of quantities, weights, and pricing before release.
- Monitor system alerts, exceptions, and flags throughout the shift; review each and approve or deny within established guidelines, escalating anything outside authority to the night supervisor.
- Clear held or flagged orders so loads can be finalized and staged for morning dispatch.
- Audit order and load paperwork for accuracy and completeness; close out completed orders in the warehouse management system.
- Run and distribute the reports required for the night's workload (e.g., special instructions, special orders, out-of-stock/chaser reports).
- Prepare and dispense route manifests and associated paperwork to drivers; communicate route notes, order changes, and special instructions clearly at dispatch.
- Serve as the night point of contact for drivers, answering questions and helping resolve paperwork or load issues before departure.
- Research and help resolve product discrepancies, short/out-of-stock items, and catch-weight or pricing variances, coordinating with warehouse staff as needed.
- Maintain organized digital and paper records and perform general administrative and office duties, including data entry, answering phones, filing, and responding to internal inquiries.
- Communicate order or inventory issues clearly to supervisors and the incoming day shift at shift handoff.
- Perform other clerical or warehouse-support duties as assigned.
Qualifications
Required
- High school diploma or GED.
- Prior office/clerical, data-entry, or warehouse-administrative experience.
- Proficiency with computers and standard office software (e.g., Microsoft Excel, Word, Outlook).
- Strong attention to detail and accuracy with numbers, weights, and records.
- Ability to work independently overnight with minimal supervision and exercise sound judgment on approve/deny decisions.
- Dependable, punctual, and able to consistently work the scheduled night shift.
Preferred
- Experience with a warehouse management system (WMS) or order-management / AS-400-type system.
- Background in foodservice, grocery, or high-volume distribution.
- Familiarity with catch-weight products and invoice/billing processes.
Work Environment & Physical Requirements
- Primarily an office/desk environment within an active distribution warehouse; occasional exposure to varying warehouse temperatures, including refrigerated and freezer areas.
- Regularly required to sit, talk, and hear; frequently required to stand, walk, and use hands for keyboarding and handling paperwork.
- Occasional light lifting (typically up to 25 lbs) may be required.
- Must be able to work the full overnight shift, Sunday through Thursday, starting at 9:00 PM and continuing until the night's work is complete.
