Duties
- Greet patients warmly upon arrival and assist with check-in procedures using dental practice management software such as Dentrix or Eaglesoft
- Schedule, reschedule, and confirm patient appointments efficiently to optimize clinic flow
- Verify insurance coverage, perform insurance authorizations, and handle billing inquiries using systems like Epic, Meditech, or Athenahealth
- Collect payments, process co-pays, and manage medical collections with accuracy and professionalism
- Maintain accurate medical and dental records in compliance with HIPAA regulations and ensure proper documentation review
- Facilitate communication between patients, providers, and insurance companies via multi-line phone systems while demonstrating excellent phone etiquette
- Manage office supplies, file patient records systematically, and support overall office management tasks including data entry with high typing accuracy (10 key typing)
- Assist in intake procedures for new patients by collecting medical history forms and updating electronic health record (EHR) systems such as eClinicalWorks or Meditech
- Support the clinical team by coordinating care plans, reviewing documentation, and ensuring all medical coding (CPT, ICD-9/10) is accurate for billing purposes
- Handle inquiries related to Medicare, ICD coding updates, HIPAA compliance, and other regulatory requirements with transparency and clarity
Requirements
- Proven experience in a dental or medical office environment with strong familiarity of dental terminology and medical administrative support functions
- Proficiency in dental practice management software such as Dentrix or Eaglesoft; experience with EMR systems like Epic or Meditech is highly desirable
- Knowledge of insurance verification processes including Medicare, Medicaid, CPT coding, ICD-9/10 coding standards, and medical billing procedures
- Excellent computer skills including Microsoft Office Suite (Word, Excel), typing (10 key), and familiarity with health information management systems like Athenahealth or eClinicalWorks
- Strong organizational skills with the ability to multitask efficiently in a busy clinic setting while maintaining attention to detail
- Exceptional customer service skills paired with professional phone etiquette and clear communication abilities
- Bilingual abilities are a plus to serve diverse patient populations effectively
- Ability to handle sensitive patient information in compliance with HIPAA regulations confidently
- Prior clinic experience or dental office experience is preferred; hospital or healthcare setting experience is advantageous
