About the Role
We are seeking a poised, articulate, and highly organized individual to serve as our Director of First Impressions, a pivotal role that blends front-of-house excellence with executive and personal support. The successful candidate will be the face and voice of our firm, ensuring a seamless and welcoming experience for clients, while also managing a range of administrative, logistical, and personal tasks. This role requires discretion, initiative, and a service-oriented mindset. To ensure success, top candidates need to work with the entire team to coordinate all client service activities with a focus on delivering a “wow “client experience. This position is a hybrid position (3 days in the office) and would report directly to the Head of Operations.
Duties and Responsibilities include:
- Responsible for all receptionist duties (e.g. greeting clients, coordinating setup for office meetings, signing for mail, accepting office deliveries, etc.).
- Responsible for managing reception area to maintain professional image, as well as maintaining the office environment to the highest standards.
- Maintain shared office calendar, including scheduling and confirmation of client meetings.
- Responsible for all personal administrative matters and managing both personal and professional activities for the CEO.
- Schedule staff meetings and professional development sessions – responsible for meeting/session minutes.
- Coordinate travel arrangements for CEO and other staff, where needed.
- Liaise with IT on basic office technology needs such as computer updates and onsite visits.
- Support Marketing on all client communication maintenance and coordination.
- Maintain service calls for office repairs and office equipment.
- Sort, review and organize mail.
- Maintain gift log, and other logs or spreadsheets as needed, for compliance purposes.
- Maintain and create client records by filing and organizing client information, forms, correspondence, spreadsheets and documents.
- Oversee office supplies, catering, and vendor relationships
- Support client engagement initiatives, including gifting, events, and correspondence.
- Answer and direct phone calls.
- Update and maintain our CRM.
- Pay bills and secure petty cash log.
- Manage and maintain client birthday cards, note cards, holiday cards, etc., as needed.
- Print and mail custodial statements and tax forms to clients and their accountants, as requested.
- Coordinate internal events and team-building interactive experiences.
Knowledge and Skills:
- Must possess a passion for helping clients and other team members.
- Excellent verbal and written communication, interpersonal skills and emotional intelligence.
- Must possess high standards of professional ethics, including the capability to handle sensitive information.
- Extremely proactive, resourceful and solutions oriented. The ability to multitask and follow up and be persistent are key.
- Must be a team player with a positive attitude.
- Comfortable managing both high-level executive support and day-to-day office operations.
- Extremely reliable and follows through on commitments.
- Impeccably organized with strong attention to detail.
Qualifications:
- 3 years of experience in client services, administrative or related experience.
- 3 years of experience in finance or related field preferred.
- Proficiency with CRM systems and Microsoft Office suite.
- Basic understanding of the financial markets and financial planning process preferred.
- NY notary, or interest in obtaining one, a plus.
