Job Overview
The Patient Service Coordinator serves as the primary point of contact for patients and supports the smooth operation of the pain management office. This position coordinates appointments, communicates with patients and healthcare providers, manages administrative information, and helps ensure a positive, efficient patient experience.
Responsibilities
- Greet patients in a professional, courteous, and compassionate manner.
- Schedule, confirm, reschedule, and cancel patient appointments.
- Coordinate new patient consultations, follow-up visits, procedures, imaging, referrals, and testing.
- Verify patient demographics, insurance information, benefits, and referral requirements.
- Obtain and organize medical records, imaging reports, medication lists, and other required documentation.
- Complete patient registration, check-in, check-out, and appointment-related paperwork.
- Explain office policies, forms, payment expectations, and appointment instructions.
- Answer telephone calls, respond to messages, and route clinical questions to the appropriate medical staff.
- Coordinate prior authorizations and referrals with insurance companies, referring providers, and patients.
- Maintain accurate and confidential patient records in the electronic medical record system.
- Collect copayments, deductibles, and other patient balances according to office policy.
- Assist with prescription refill requests by routing them to authorized clinical staff.
- Follow HIPAA, OSHA, infection-control, and office safety requirements.
- Support providers and clinical staff with administrative tasks as needed.
- Identify scheduling or patient service concerns and escalate them appropriately.
- Perform other related duties assigned by management.
Experience
- High school diploma or equivalent.
- Previous experience in a medical office, healthcare customer service, scheduling, or administrative role.
- Strong verbal and written communication skills.
- Professional, respectful, and patient-centered approach.
- Ability to handle confidential information appropriately.
- Basic computer skills and familiarity with electronic medical records.
- Strong organization and attention to detail.
- Ability to manage multiple tasks in a busy office environment.
- Ability to work effectively with patients, providers, insurance representatives, and coworkers.
Preferred Qualifications
- Experience in pain management, orthopedics, or neurology practice.
- Knowledge of insurance verification, referrals, and prior authorization processes.
- Experience with medical terminology and procedure scheduling.
