Position Type: Full-Time

Are you a highly organized professional with a passion for providing exceptional service? We are seeking a friendly, detail-oriented, and reliable Office Administrator to be the face and backbone of our office. In this role, you will be the first point of contact for our patients and the internal expert managing our administrative, financial, and bookkeeping operations.

Key Responsibilities

Front Desk & Patient Relations

Serve as the primary greeter, welcoming all patients and visitors with a warm, professional demeanor.

Manage the front office environment to ensure a welcoming and organized space.

Handle patient inquiries regarding billing, insurance coverage, and payment plans with empathy and clarity.

Schedule appointments and manage the daily office workflow.

Financial, Bookkeeping & Payroll Operations

Bookkeeping: Maintain the general ledger, perform bank reconciliations, track expenses, and prepare monthly financial reports to ensure the practice’s financial health.

Payroll Administration: Process end-to-end payroll for staff, ensuring accuracy and timely disbursement.

Billing & Accounts: Manage patient accounts, process payments, and resolve billing discrepancies in a timely manner.

Maintain accurate electronic medical records and sensitive office files in compliance with privacy regulations.

Coordinate office supplies, vendor relationships, and general administrative upkeep.

Qualifications

Experience: Proven experience in an administrative, medical reception, or office management role with a strong foundation in financial operations.

Communication: Exceptional verbal and written communication skills; you must be comfortable explaining complex billing information to patients.

Financial Proficiency: Demonstrated experience in full-cycle bookkeeping, payroll processing, and financial reporting.

Technical Skills: Proficiency in office software (Microsoft Office/Google Workspace) and experience with accounting software (e.g., QuickBooks) and practice management systems.

Soft Skills: Strong multitasking abilities, high attention to detail, and the ability to maintain strict confidentiality and composure in a fast-paced environment

Pay: $18.00 - $26.00 per hour

Work Location: In person
