Duties
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
- Handle appointment scheduling, calendar management, and coordinate meetings for staff and executives
- Maintain organized filing systems, perform data entry, and ensure accurate record keeping using Microsoft Office and Google Workspace tools
- Support office management tasks such as ordering supplies, managing correspondence, and assisting with clerical duties like proofreading and document preparation
- Provide exceptional customer service by addressing inquiries via phone or in person and offering support as needed
- Assist with basic bookkeeping tasks using QuickBooks or similar software to track expenses and invoices
Requirements
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Experience with front desk operations or administrative support roles; previous dental or medical receptionist experience is a plus
- Excellent phone etiquette with the ability to handle multi-line phone systems confidently
- Bilingual proficiency to communicate effectively with diverse populations (preferred)
- Strong typing skills along with time management abilities to prioritize tasks efficiently
- Knowledge of clerical tasks such as filing, proofreading, and calendar management
