Position Overview: The Client Relations Associate (CRA) serves as a key member of the Client Relations team and is responsible for supporting the firm's commitment to delivering an exceptional client experience. The CRA works closely with advisors, clients, custodians, and professional partners to ensure the accurate and timely execution of client service, account administration, onboarding, estate processing, and operational activities.
The CRA plays an important role in supporting and strengthening client relationships while contributing to the achievement of the firm's purpose, vision, values, and strategic goals. This position requires a high degree of professionalism, organization, attention to detail, collaboration, and commitment to doing whatever is needed to support clients and fellow team members.
Duties & Responsibilities
Assist with client onboarding, including:
- Introduce SIG and gather all required statements and documentation.
- Review and verify assets to ensure compatibility with GS/Schwab custodial platforms.
- Coordinate account setup, completing all necessary paperwork for SIG and custodians, including establishing bank links, transfers, and beneficiary designations.
- Configure custodial and SIG system access, providing comprehensive overviews and guidance on each platform
- Provide ongoing client service, including:
- Manage daily cash movement to ensure liquidity and oversee ongoing account maintenance.
- Process account transfers and consolidations (e.g., to trusts, third-party SMAs, alternatives, etc.).
- Process rollovers, gifting of shares, and establish donor-advised funds (DAFs) with American Endowment Foundation, including ongoing administration.
- Track and administer Required Minimum Distributions (RMDs) and Qualified Charitable Distributions (QCDs).
- Coordinate alternative investment subscriptions.
- Handle special client reporting requests.
- Schedule client meetings and manage all preparation, including confirmations, report generation, and logistics (greeting, parking, etc.).
- Attend client meetings as requested and document follow-up actions.
- Maintain consistent communication with CPAs, estate attorneys, and other professionals regarding taxes, estate processing, and related matters.
- Handle inbound client calls and requests.
- Manage referral gifts, client birthday cards, and other relationship-building activities.
- Maintain accurate notes and records in CRM.
Assist with estate processing and distribution, including:
- Obtain death certificates and all required estate documentation (e.g., trusts).
- Notify internal team and ensure immediate suspension of billing and trading activities.
- Coordinate with executors, estate attorneys, CPAs, and other professionals to facilitate estate administration.
- Establish new accounts as needed, implement step-up procedures, and oversee the distribution of assets.
Provide team and firm-wide support, including:
- Complete compliance-related tasks.
- Collaborate with internal teams to address reporting requirements and optimize use of available tools.
- Handle documentation processing and maintain accurate records.
- Support onboarding of new team members, including training.
- Provide administrative support for G1 advisors.
- Coordinate team-building activities and events, including birthdays, lunches, and other celebrations.
- Assist with special projects as needed.
Qualifications
- Bachelor’s degree (in business, accounting, finance, economics preferred) or related experience.
- 1 year of experience in client service and/or operations in the financial services industry (preferably with an independent registered investment advisory firm).
- Proficiency in Microsoft Office (required); experience with CRM, document management, and portfolio accounting software (preferred).
