Position Summary

The Program Coordinator is a temporary, part-time role within the Mission & Impact Department supporting the Sarasota Performing Arts Foundation’s Mindful Recovery initiative in partnership with the Early Learning Coalition of Sarasota County (ELC). This county-wide arts and wellness program supports early learning educators and young children through creative, arts-based approaches to resilience, wellbeing, and classroom engagement.

The Program Coordinator plays an essential role in the successful implementation of the program by administering scheduling, logistics, communications, and coordination with teaching artists, early learning sites, and internal departments. This position helps ensure that program activities are delivered smoothly, efficiently, and with a high level of professionalism.

Essential Duties and Responsibilities

Administrative & Program Support

  • Maintain the program’s calendar and schedule meetings with teaching artists, ELC staff, and other project stakeholders.
  • Coordinate residencies from beginning to end, including pre-residency communication and intake surveys, scheduling, contracting teaching artists, ordering supplies, and ensuring completion of all follow-up materials such as invoicing, impact surveys, and debriefs with accuracy and efficiency.
  • Track program expenses according to departmental tracking procedures.
  • Prepare monthly invoices for reimbursement from the Early Learning Coalition.
  • Serve as the primary point of contact for teaching artists and ELC communications related to program logistics.
  • Prepare meeting materials and assist with follow-up communications and documentation.
  • Support departmental operations and special projects as assigned.


Required Qualifications

  • Valid driver’s license and access to reliable transportation to visit residency sites throughout Sarasota County.
  • Ability to pass a level 2 background check.
  • 3 years of experience in program coordination, operations, administrative support, or related roles.
  • Interest in arts programming, arts and wellness initiatives, and/or early childhood education.
  • Ability to work at maximum 29 hours per week; scheduling may fluctuate due to event and workshop scheduling


Preferred Qualifications

  • Associate’s degree or higher
  • Demonstrated success managing multiple fast-paced projects simultaneously.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • High level of professionalism, integrity, and discretion when working with diverse stakeholders.
  • Ability to manage multiple priorities and deadlines with accuracy and efficiency.
  • Collaborative and team-oriented with a proactive approach to problem-solving.
  • Proficiency in Microsoft Office 365 applications.
  • Strong interpersonal and customer service skills.
  • Ability to communicate and collaborate effectively with a wide range of stakeholders including artists, educators, and cross-departmental teams.
  • Ability to occasionally work evenings or weekends to support programs or events.
