The Sapphire Fleet Maintenance Coordinator position will work closely with internal departments and external clients to maintain and coordinate the maintenance and reporting for fleet service lines. This position will include conducting maintenance reports and analysis along with coordinating with safety & compliance to ensure all equipment is operating and maintained in accordance with safety & compliance.
Responsibilities include, but are not limited to:
- Complete and maintain all IFTA Monthly Fuel Tax reporting.
- Provide support to the Asset Administrator in coordinating & executing all preventive maintenance and repair activities for fleet vehicles and equipment.
- Schedule & track maintenance services, inspections & repair timelines to ensure fleet uptime.
- Primary point of contact for driver-reported defects, breakdowns & roadside events, coordinating timely resolution.
- Support the Asset Administrator in working directly with maintenance vendors, repair shops & leasing companies to facilitate service and repairs.
- Ensure all fleet assets meet DOT, state, and federal compliance requirements, including:
- Vehicle and equipment registrations; Permits and licensing
- IFTA decals & reporting support; Required inspections & documentation
- Maintain & update fleet maintenance & compliance records, ensuring accuracy & audit readiness
- Update fleet management systems (work orders, PM schedules, asset records, compliance tracking)
- Execute new asset setup and readiness, including:
- Coordinate installations (telematics, cameras, GPS)
- Apply decals and required compliance markings
- Ensuring equipment is road-ready prior to deployment
- Coordinate asset offboarding, lease returns, decommissioning & removal of equipment or decals.
- Assist Human Resources to track & support fuel card distribution & documentation; fuel & mileage reporting requirements.
- Assist with vendor invoice verification by confirming work performed & support documentation.
- Monitor & maintain inventory of compliance & maintenance-related materials (decals, permits, devices, etc.)
- Conduct routine equipment & documentation audits to ensure compliance & maintenance standards are met.
- Identify and report maintenance or compliance issues, risks, or gaps to leadership.
- Exercise authority to remove unsafe or non-compliant equipment from service.
- Support updates to SOPs and maintenance/compliance processes as directed.
- Perform other duties as assigned.
Qualifications include, but are not limited to:
- Requires a High School Diploma or GED.
- Certified Automotive Fleet Manager (CAFM) Certification preferred.
- 3 years fleet maintenance experience.
- CNG & LNG mechanical knowledge preferred.
- 3 years Logistics experience preferred.
- Experience with MS Office Suite (Teams, Excel, Word, Outlook etc.); Upkeep software preferred.
- Report and budget writing and/or creating experience.
- Proficiency in contract negotiation & upholding current contracts.
- Ability to work across multiple departments (office & field). Ability to travel up to 25%.
- Excellent written and verbal communication skills
- Capacity to learn and adapt, good decision-making and problem-solving skills.
Work conditions include, but are not limited to:
- Work with routine exposure to all weather conditions.
- Work regular hours, overtime, and rotating shifts.
- Able to certify and use personal protective equipment, respirator, safety glasses, hard hat, gloves, protective footwear, and earplugs daily.
- Able to handle emergencies, possible exposure to gaseous atmospheres on occasion.
- Able to respond to callouts and occasionally return to work while off duty.
- Able to be included in the random drug screen pool required for DOT safety-sensitive positions and other regulatory or customer requirements.
The physical requirements include, but are not limited to:
- Ability to stand, walk, stoop, kneel, reach, climb stairs and ladders & crawl in various terrain and conditions, sometimes for extended periods.
- Able to exert routine physical effort regularly.
- Able to safely use a variety of hand and/or power tools.
- Able to safely operate a motor vehicle and the ability to enter and exit a vehicle unassisted.
Salary : $75,000 - $80,000
