Role Description
This is a full-time, on-site role for an Administrative Assistant located in Aptos, CA. The Administrative Assistant will perform various tasks such as managing phone calls, handling communication, providing clerical support, and offering executive administrative assistance. Responsibilities also include organizing files, scheduling appointments, and maintaining records.
Essential Job Accountabilities
- Answer phones, check emails, and provide excellent customer service
- Prioritize tasks
- Perform clerical duties such as Filing, faxing, scanning, and organizing files for the office
- Other duties as needed
Knowledge and Skills needed to perform job duties:
- Ability to communicate effectively both written and verbally
- Ability and willingness to cross-train with other teams
- Ability to work in a fast-paced environment
- Knowledgeable and able to use a computer effectively
- Knowledgeable In Microsoft Word, Excel, etc.
- Ability to maintain a heavy workload, must be able to multitask
- Responsible for all Corporate Office mailing needs, including distributing mail, processing outgoing mail, picking up and taking mail to the Post Office, and accepting and sending freight (FedEx, UPS, etc.).
- Maintain all Office general-use areas, such as copy and meeting rooms, so that they are fully stocked and tidy, including inventory and supply needs for those areas.
- Technically Savvy
- Some Spanish preferred, but not required
Education and Work Experience
- High school diploma or equivalent.
- 2 years of customer service experience.
- 2 years of general office experience.
Job Type: Full-time
Pay: $24 - $29.00 per hour DOE
Expected hours: 40 per week
Schedule:
- 8-hour shift
- Monday to Friday
