POSITION SUMMARY
The Preconstruction Coordinator provides critical administrative and coordination support to the Preconstruction and Estimating department of a commercial electrical contracting firm. This role is responsible for managing the flow of bid opportunities, coordinating the receipt and organization of project documents, supporting the estimating team throughout the bidding process, and facilitating communication between the estimating team, general contractors, suppliers, and internal operations. The ideal candidate has a working knowledge of the electrical construction industry, strong administrative capabilities, and a commitment to accuracy and timeliness in a deadline-driven environment.
ESSENTIAL RESPONSIBILITIES
- Monitor, identify, and log incoming bid solicitations from General Contractors and bid boards.
- Review bid invitations to assess scope, project type, bonding requirements, and submission requirements
- Maintain and manage the bid calendar, ensuring all active bids, deadlines, and due dates are tracked and communicated to the team
- Download, organize, and distribute bid documents including plans, specifications, addenda, bulletins, and RFIs
- Maintain current and organized document filing systems by project
- Maintain organized pre-bid RFI logs and track responses
- Coordinate material and equipment pricing requests to electrical suppliers and manufacturers; track and log quotes
- Organize and maintain historical bid data, unit pricing libraries, and material cost reference files
- Maintain an organized database of approved suppliers, vendors, and manufacturers’ representatives
- Track supplier quote submissions, follow up on outstanding pricing, and log received quotes by bid and trade category
- Coordinate pre-bid job walk attendance, track sign-in sheets, and distribute relevant site observation notes to the estimating team
- Assist in the preparation and formatting of scope clarification letters, exclusions lists, and bid qualification documents
- Coordinate with business development or marketing staff on the preparation of project-specific resumes, project experience sheets, and team qualification narratives
QUALIFICATIONS
Required
- 2 years of administrative experience in electrical contracting, commercial construction, or a closely related field
- Proficiency in Microsoft Office Suite with strong Excel and Word skills
- Strong organizational skills with the ability to manage multiple active bids and deadlines simultaneously
- Must be familiar with electrical construction documents including plans, single-line diagrams, panel schedules, and specifications
- Strong written and verbal communication skills with a professional demeanor
Preferred
- Associate’s or Bachelor’s degree in Construction Management, Business Administration, or related field
- Familiarity with electrical estimating software such as Accubid, Trimble, or similar platforms
- Working knowledge of electrical systems, materials, and construction terminology (conduit systems, switchgear, distribution, lighting, fire alarm, low voltage, etc.)
- Experience with Procore, Bluebeam Revu, or similar construction management and takeoff tools
- Experience with bid management platforms such as BuildingConnected
- Understanding of NEC code requirements, Division 16 / Division 26 specification sections, and electrical construction sequencing
- Prior experience supporting a Chief Estimator or Director of Preconstruction at an electrical subcontractor
POSITION DETAILS
- Full-time, primarily office-based with occasional pre-bid job walks and site visits
- Fast-paced, deadline-driven environment with multiple concurrent bid pursuits
- Extended hours may be required during peak bid periods or in advance of major bid submissions
