*Key Responsibilities:*
- Oversee daily office operations, ensuring smooth workflow and efficiency.
- Coordinate communication between clients, contractors, and office staff.
- Manage scheduling and appointment booking for landscape projects and maintenance services.
- Assist with bid processing and integrate software to streamline business processes.
- Maintain accurate records, including project documentation, contracts, and client information.
- Help with invoicing, billing, and payment tracking.
- Ensure timely follow-ups on estimates, contracts, and payments.
- Assist with human resources tasks, including employee records and timekeeping.
- Provide exceptional customer service to clients, addressing inquiries and concerns in a timely manner.
*Requirements:*
- Strong organizational skills and ability to manage multiple tasks.
- Excellent communication skills, both written and verbal.
- Must be a self-starter and able to work independently with minimal supervision.
- Comfortable integrating and learning new software tools to improve operational efficiency.
- Previous experience in office management or administrative roles, preferably in a contracting or service industry.
- Detail-oriented with a high level of accuracy in managing records and documentation.
- Ability to work in a fast-paced environment with tight deadlines.
- Bilingual (Spanish/English) is preferred but not required.
- A positive, proactive attitude and the ability to collaborate with a diverse team.
