Responsible for patient check-in, treating all patients in a professional and courteous manner. Reviews patient charts to verify necessary information and signatures have been obtained. Enters new patient information into computer. Ensures the patient feels welcome to the practice. Responsible for checking out all patients and collection of payment. Explains all charges to patients including any fees they will be responsible for. Verifies all insurance and address information.
Key Responsibilities Medical Receptionist
1. Patient Check in
- Tracks patients in the reception area and communicates with them as needed.
- Ensures patient information, forms and signatures obtained.
- Scan patient insurance and ID cards.
- Ensures that proper authorization or referral is collected from each patient.
- Assists patients in obtaining authorization or referrals that have not been received by the practice.
- Enters all new patient demographic information into the computer
- Marks arrival time of patients in office and makes sure that patients are seen on time.
2. Patient Check-Out
- Processes patients at conclusion of visit. Reviews fee sheets for correct charges and diagnosis marked; enters information into computer.
- Schedules return appointments for follow-up.
- Explains all fees and patient financial responsibility.
- Verifies patient insurance and address information.
- Collects copay and/or fee for services
3. Administrative – may entail any combination of the duties below
- Answer and place telephone calls with patients to confirm upcoming appointments and verifies information required of the patient at the time of appointment.
- Places telephone calls to no-show appointments; reschedules as needed.
- Schedules follow-up appointments.
- Provides support on telephones.
- Closes batch at the end of the day and prepares deposit. Assures that batch and collected amounts balance.
- Ability to process charge card entries and batches balance.
- Compiles a daily list of all patients requiring preauthorization for subsequent office visits and procedures.
- Maintains understanding of billing procedures and correct coding of charges.
- Attends monthly staff meetings and special training days.
Key Responsibilities for Cosmetic Receptionist
- Greet patients warmly and ensure a welcoming, professional environment
- Check patients in/out efficiently while maintaining confidentiality (HIPAA compliance)
- Answer phones, respond to inquiries, and manage high call volume
- Maintain a clean, organized, and aesthetically pleasing reception area
Scheduling & Coordination
- Schedule cosmetic consultations and procedures accurately
- Understand provider availability, treatment timing, and room utilization
- Manage appointment confirmations, reminders, and follow-ups
- Enforce cancellation/no-show policies and collect applicable fees
Cosmetic Services Knowledge & Sales Support
- Educate patients on cosmetic services, packages, and memberships
- Discuss pricing, promotions, and financing options confidently
- Support conversion of consultations into booked procedures
- Promote monthly specials, events, and membership programs
Financial & Administrative Duties
- Collect payments, deposits, and maintain accurate records
- Verify patient demographics and update intake information
- Maintain daily logs, reports, and front desk documentation
- Assist with inventory tracking of retail skincare products
Communication & Team Collaboration
- Coordinate with providers and clinical staff to ensure smooth patient flow
- Relay patient concerns and messages accurately and promptly
- Assist with marketing initiatives, events, and patient outreach
Qualifications
- 1–3 years of front desk or customer service experience (medical or medspa preferred)
- Strong communication and interpersonal skills
- Comfortable discussing cosmetic treatments and pricing
- Proficient in EMR systems
- Ability to multitask in a fast-paced environment
- Professional appearance and demeanor
Preferred Skills
- Experience in dermatology, plastic surgery, or medspa setting
- Sales or upselling experience in aesthetic services
- Familiarity with cosmetic treatments (Botox, fillers, laser, facials, etc.)
- Bilingual (Spanish) is a plus
