Service Administrator
Sanders Fire & Safety, located in Mechanicville, NY, is an industry leader in the design, installation and maintenance of low voltage fire alarm and suppression systems and has been in business since 1933. We are seeking a Service Administrator to help us run, along with the Service Manager, the service department in an efficient and profitable manner, to increase customer satisfaction, and to meet the expectations of all stakeholders. The service team includes the Service Manager, the Service Administrator and 6 technicians, and works in conjunction with the project managers, accounting, and upper level management.
Responsibilities
· Assist Service Manager with the timely and productive scheduling and dispatching of service and installation technicians for routine inspections, service calls, installations, and emergency calls.
· Answer incoming service calls for service and set up and track work orders
· Maintaining data bases for our regular inspection contracts and our national accounts which include date last serviced, updated contact information, contract pricing, and system deficiencies.
· Ensure that all service follow-up is completed: Scheduling of return service calls with parts if necessary, notes created for use on next inspection, and proposals for deficiencies or recommendations are sent out in a complete and timely manner.
· Assist the Service Manager in ensuring the technicians have equipment, tools, and paperwork needed for the scheduled jobs. As sites are scheduled, the scheduler will review past inspections, proposals and make sure we have what is needed in advance of performing the work.
· Send out new and updated preventive maintenance contracts which includes reviewing service prices, following up with customer, updating the service data base, and maintaining all service contract electronic and hard copy files.
· All service and installation communication such as emails, letters or telephone calls fall under the responsibility of the service department and are coordinated thru the Service Administrator.
· The service department is responsible for coordinating all manpower for both service and installation. The project managers will make the service dept. aware of any installation labor requirements needs so it can be fit into the schedule and manpower allocated.
· The Service Manager and Service Administrator are responsible to coordinate with all other departments such as Project Management, Management and Accounting to achieve the objective.
Required Individual Qualifications:

- Desire and capacity to learn in a fast-paced environment
- Ability to effectively work in teams
- Ability to multi-task
- Two years related experience and/or training in customer service, dispatching or project management or equivalent combination of education and experience
- CAD Drawing experience a Plus
