Director of Administration
San Ramon Academy of Music – San Ramon, CA (On-site)
San Ramon Academy of Music (SRAM) serves almost 500 students across two locations in San Ramon through private lessons, group classes, workshops, and city partnerships. We are a systems-driven, people-centered music school: clear procedures, strong communication, and a warm, professional experience for every family.
We are hiring a Director of Administration to lead our on-site admin team and keep daily front-desk operations running smoothly as we continue to grow.
Role Overview
This is a hands-on leadership role.
You will:
- Work on-site as a senior admin (phones, email, front desk, scheduling)
- Oversee and support our Studio Managers and virtual admin
- Help maintain the flow of daily operations across both locations
- Ensure our systems (ClickUp, SOPs, Opus) are actually being followed on the ground
You’ll work closely with our General Manager, Academy Director, Director of Student Success, and Operations Manager.
Key Responsibilities
Admin & Front Desk Leadership
- Serve as senior in-person admin during your shifts
- Support Studio Managers and virtual admin with questions and task follow-through
- Help organize and delegate front-desk/admin work so nothing falls through the cracks
Customer Service & Scheduling
- Oversee student scheduling / rescheduling / cancellations
- Support families via phone, text, and email with clear, professional communication
- Coordinate with Studio Managers and teachers on schedule changes and simple group class communications
Day-to-Day Operations
- Oversee studio reception and facility readiness
- Support recital and event administration
- Help manage day-to-day systems around books and instrument rental/sales in collaboration with operations
Systems & Documentation
- Use ClickUp (our task management software) daily to track tasks, deadlines, and checklists
- Use Opus1 (our student scheduling and billing software) to track lessons, cancellations, attendance and more.
- Follow Admin and Operations SOPs and flag when procedures or templates are unclear or out of date
- Communicate operational issues early so the leadership team can adjust systems and support
Schedule & Compensation
- On-site in San Ramon, CA
- Approximately 25–30 hours per week (around 110–120 hours per month)
- Afternoon/evening coverage across five days per week, with some flexibility based on school needs (including occasional Saturdays)
- Hourly rate: $25–27 per hour, depending on experience

What We’re Looking For
- 2 years experience in administrative, office management, or front-desk coordination
- Experience in education, arts, childcare, or other family-facing services is a plus
- Musical background as student, educator etc. is a plus but not required
- Strong organizational skills and comfort working with checklists, systems, and shared procedures
- Confident, professional communicator with families, students, teachers, and staff
- Able to balance warmth with boundaries: kind, clear, and consistent
