SUMMARY

As an integral part of San Pedro’s team, the Guest Services lead member assures all guest service matters are addressed while maintaining a secure facility. It supports the program department including the development and implementation of programs, retreatant/visitor needs, marketing/promotional demands, and wedding/funeral receptions arrangement.

ESSENTIAL DUTIES AND RESPONSIBLIITES include the following:

• Assist Guest Services Manager and Program Manager as needed. • Assigned team member to cover for staff call outs.• Support to Guest Service Manager for special events as assigned.•      Backup for Guest Services Manager when not on property – Meet with Group Leaders upon arrival• Primary contact for meeting with guests to discuss Audio Visual needs/supplies.•       Respond to inquiries entered in Kinetic Software. Follow up with guests if no response within 48-72 hours. • Carry and answer After Hours phone.• Collect, count, and prepare receipts from Chapel Donation box once a week.• Ensure that all staff are producing the chapel sheet/weekly schedule.• Identify guest needs and make appropriate interventions for guest satisfaction. • Notify appropriate law enforcement or emergency services when need arises for guest safety or emergency medical         conditions. Notify the Executive Director when and if these services are activated. • Order and keep inventory of chapel supplies.• Order guest services supply with approved vendors.• Preceptor for new staff as assigned.• When needed, refer guest needs or plant issues to the appropriate Department Head and when necessary to the        Executive Director.• Work with group leaders or individual guests when needs arise. • Support the development of programs to maintain the mission of San Pedro Spiritual Development Center and meet        desired outcomes.• Coordinate the preparation of material for meetings and attend meetings as needed. • Recruit clergy for Mass, Adoration, and Confessions, including San Pedro Masses.• Manage registration, forms, and stock for programs.• Manage payment request forms of invoices, refunds, and stipends.• Enter group rooming lists into the Guest Services Reservation software.• Primary contact for all incoming calls from the cemetery and/or funeral walk-ins. Make reservations for the Chapel         and Reception Hall using the Guest Services Reservation software.• Make rounds of the property to determine whether the facility is safe and secure. Check all guest areas for safety concerns.         Ensure electrical rooms/closets are locked and not accessible to guests. • Other duties as assigned.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

• One (1) year of comparable experience

• High School Diploma

• Computer literate with experience in Windows

• Clear Driver’s License

• Ability to work with diverse groups of people in an atmosphere of collaboration and service

• Excellent written and oral communication skills

• Possess demonstrated ability to work in a church-related as well as service-oriented environment

LANGUAGE SKILLS

Must have outstanding problem-solving skills. Excellent communication and interpersonal skills required. 


MATHEMATICAL SKILLS

Ability to apply routine mathematical concepts such as addition, multiplication, and division. 


REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw valid conclusions. 


PHYSICAL REQUIREMENTS

Position requires walking, sitting for extended periods of time, bending, stretching, and stooping. . Need to be able to lift 35lbs. Repeated use of hands, fingers, wrists, and arms. Must be able to see up close as well as from afar. Job incumbents must also possess the ability to hear and communicate both verbally and in writing, in person and via telephone and electronic communications.


WORKING CONDITIONS


The working hours of this position are not limited to an 8-hour day. This person will need to be available in the evening and at weekends, as needed. Must be willing to work in conditions of stress and function well under pressure.
