JOB DESCRIPTION

 

TITLE:

ASSOCIATE DIRECTOR OF SPECIAL EVENTS

PURPOSE:   Work with the Director of Donor Engagement, Opera staff, board members, donors, and vendors to create meaningful event experiences that align with the Opera’s creative vision and fundraising goals.

 

  1. EDUCATION: Bachelor’s degree from an accredited college or university (preferred), or equivalent work experience.

 

  1. EXPERIENCE: Minimum of five (5) years’ experience in a high-level, high-volume event environment including customer service and administrative duties.

 

  1. PREREQUISITE SKILLS & REQUIREMENTS:
  • Knowledge of practices and principles of fundraising.
  • Knowledge of events management, preferably as it relates to the operatic art form.
  • Knowledge of general office practices and procedures including efficient record-keeping.
  • Experience in training and supervising direct reports, interns and volunteers.
  • Proficiency in Microsoft Office applications; database skills desirable.
  • Proficiency in Tessitura revenue management system highly preferred.
  • Ability to work independently; prioritize tasks; and exercise good judgment and initiative.
  • Ability to manage multiple, competing priorities successfully.
  • Ability to thrive in a fast-paced, rapidly changing environment.
  • Ability to complete projects with a high degree of accuracy, detail and timeliness.
  • Ability to manage and work within a budget.
  • Ability to use a dolly and lift up to 35lbs.
  • Ability to work evenings and weekends as dictated by the event schedule
  • Outstanding interpersonal skills including the ability to interact with artists, staff, the public including donors and event patrons, and volunteers in a professional, confidential and tactful manner.
  • Ability to communicate logically, tactfully, professionally and persuasively, both orally and in writing.
  • Must perform the functions of the position in a safe manner.

V.

ESSENTIAL JOB FUNCTIONS:

  • Develop and execute event strategies and plans to support all efforts within the development department.
  • Work with the Director of Donor Engagement to manage Opera Ball logistics on behalf of SF Opera, working closely with SF Opera Guild.
  • Responsible for all event patron relations including guest tracking and seating, including high level staff and board members.
  • Plan and execute all logistical aspects for certain events in addition to sharing responsibility for all other donor events.
  • Work directly with donors to plan events in their homes.
  • With Director of Donor Engagement, build annual Events Dept budgets, manage event-related invoices, and track event budgets, including maintaining budget restrictions.
  • Work with company calendars, executive staff, artists, board members, and venues to coordinate dates of select events.
  • Attend and participate in fundraising staff’s strategy and planning meetings as they relate to special events.

 

SECONDARY FUNCTIONS:

  • In partnership with the Director of Donor Engagement, develop, recommend, communicate and enforce special event policies.
  • Work with designers to create visual look and feel of décor and collateral to meet the event goals.
  • Act as contact to the artistic department and the office of the general director for artist logistics and onsite needs.
  • Develop and maintain partnerships with supporting vendors, including hotels and restaurants.
  • Perform other job-related duties as assigned.

 

VI.            EQUIPMENT OR MACHINES, IF ANY, THAT MUST BE OPERATED TO PERFORM THE POSITION ACCEPTABLY:   Computer, printer, copier, telephone and other general office equipment and machines.
