Overview

The Program Coordinator II supports the RESTORE program. The RESTORE program is a community-academic research collaborative within the Division of Health Promotion and Behavioral Science in the School of Public Health at San Diego State University, under the leadership and supervision of Dr. Sabrina L. Smiley.

Responsibilities

Under the supervision of the Principal Investigator (PI), the Clinical Research Program Manager will provide administrative leadership and community engagement through a wide variety of responsibilities:

 

Principal Responsibilities

  • Prepare and submit all payment requests (Emburse and MyRF) and hiring documentation (iCims and EPAS) for all financial and personnel actions through the SDSU Research Foundation (SDSURF). Submissions and approvals should happen in a timely manner to meet all deadlines and vendor/subaward agreement payment terms. Training will be provided.
  • Administer and renew vendor contracts while maintaining accuracy and adherence to SDSURF policies and Federal Guidelines. Sponsored Research Administration (SRA) and Purchasing must be part of all contract/agreement negotiations. Training will be provided.
  • Respond promptly to all emails and other requests for information from the SRA Grant Specialist and work in coordination with the Grant Specialist to ensure adherence to SDSURF policies and procedures.
  • Coordinate and act as a liaison with community health clinics (subawardees) with a focus on building a progression in the continuum of substance use disorder (SUD) treatment and addressing specific needs of vulnerable populations.
  • Manage program budget and recommend or make budgetary and resource allocations. Provide financial status reports as requested by PI.
  • Provide clear and timely responses to inquiries regarding vendor and subaward agreement terms and payment processes.
  • Develop administrative and programmatic policies and processes for the RESTORE Program to ensure effective, efficient, and secure use of data.
  • Assist in writing Institutional Review Board (IRB) applications, publications, Standard Operation Procedures (SOPs), and presentations.

Qualifications

Knowledge and Abilities

  • Demonstrated experience conducting community-engaged research in clinical and/or behavioral health
  • Ability to generate detailed reports on contract status, trends, and performance
  • Ability to organize and motivate teams to follow good clinical practice and regulatory requirements, while providing excellent patient care and study conduct.
  • Excellent time management; able to grasp new technologies, respond quickly to competing priorities and be comfortable with working with tight deadlines.
  • Exceptionally well-organized with demonstrated ability to prioritize and track multiple projects; and maintain well-organized, easily accessible, shared files.
  • Excellent written, verbal, interpersonal, and presentation

MINIMUM EDUCATION

  • Bachelor's degree and/or equivalent training and administration work experience involving study, analysis, and/or evaluation development or improvement of administrative policies, procedures, practices, or programs.

MINIMUM EXPERIENCE

  • Six years of progressively responsible experience in office or administrative environment

PREFERRED QUALIFICATIONS AND SPECIAL SKILLS 

  • Demonstrated experience working with substance use disorders, behavioral health services, and/or business for at least 15 years.
  • Six (6) years of experience at a Program Specialist II level, two years of which were in a position with high level of responsibility and requiring specialized skills.
  • Proficiency in using contract management tools and e-signature
  • A valid California driver's license, basic required California state insurance coverage, and access to an automobile
  • Supervisory Experience highly desirable
