Minimum Qualifications (Education, Experience, Skills)
- Associates Degree in Business Administration or related field or equivalent work experience.
- Three years of experience in purchasing, facilities or property management.
- Two years of project management experience, preferably in the financial services industry.
- Basic working knowledge of PC/MS Office; general understanding of security systems, CCTV systems, alarm systems and applications.
- Demonstrated ability to lead, motivate, plan, organize and guide people and projects to a successful completion while meeting established deadlines.
- Ability to work independently under minimal supervision and to strategically problem solve and make recommendations using critical thinking, and logic.
- Professional and effective interaction, verbal and written communication skills with ability to communicate to a wide variety of people at all levels.
- Provide managerial oversight of our vendor workforce and the projects/tickets that they are assigned to complete. Attend periodic vendor meetings to discuss any areas of concern and to ensure that service expectations and deliverables are met consistently. Manage vendor performance and recommend changes when appropriate.
- Obtain quotes from vendors and contractors for bids; communicate verbally and in writing with vendors and contractors; schedule and coordinate the work of contractors.
- Provide on-call support on rotation to address after-hours or emergency service concerns.
- Responsible for oversight, implementation and execution of special projects and/or services.
- Provide supervision of daily facility requests through internal Facility Management Software System for maintenance and repair of the credit union’s administrative and branch offices to include scheduling service, monitoring vendor activities and coordinating vendor access as appropriate.
- Manage all high-priority tickets, regardless of the type/vendor, where employee health and safety is a factor.
- Act as liaison between SDCCU and the various property management companies/owners who manage and maintain our facilities
- Responsible for the vendor management process including obtaining necessary paperwork to setup new vendors and completing periodic vendor performance and UARs on an ongoing basis for existing vendors.
- Responsible for analyzing current processes and workflows to identify ways to implement a more proactive approach.
- Cross-train co-workers on methods and procedures and maintain accurate and updated records.
- Act as back-up to the Facilities Manager when they are out of the office.
- Perform other duties as assigned.
- Assume on-call duties as directed by the head of the department.
