The Emergency Department Operations Coordinator provides administrative, operational, and project support to the Emergency Department leadership team. This position serves as a key resource in coordinating daily department operations, staffing support, regulatory readiness activities, quality improvement initiatives, data management, and communication efforts. The Coordinator functions as a liaison between frontline staff, leadership, ancillary departments, and organizational stakeholders to support efficient, safe, and patient-centered emergency care delivery. The ED Operations Coordinator is not a supervisory role but serves as a leadership extender, helping to optimize department performance and reduce administrative burden on clinical leaders.

 

ESSENTIAL FUNCTIONS:

 

Department Operations

  • Assist in coordinating daily operational activities of the Emergency Department.
  • Monitor and communicate operational metrics including patient volume, throughput, boarding, LWBS, and staffing indicators.
  • Support implementation and follow-up of departmental initiatives and action plans.
  • Coordinate communication between the Emergency Department, nursing administration, ancillary departments, and providers.
  • Prepare and distribute department reports, dashboards, and operational updates.

Staffing and Scheduling Support

  • Assist with schedule preparation and maintenance.
  • Track staffing vacancies, agency utilization, overtime, and productivity metrics.
  • Maintain staffing records and communicate schedule changes.
  • Process and monitor PTO requests and scheduling documentation.
  • Support payroll reconciliation and timecard review activities.

Quality, Regulatory, and Accreditation Support

  • Maintain department readiness for regulatory and accreditation surveys.
  • Coordinate collection and tracking of quality indicators and department scorecards.
  • Assist with chart audits and quality monitoring activities.
  • Maintain action plans related to patient safety, infection prevention, and quality improvement initiatives.
  • Organize documentation required for accreditation, trauma, stroke, and emergency preparedness programs.

Education and Competency Support

  • Track employee licensure, certifications, and mandatory education requirements.
  • Monitor competency completion and annual regulatory requirements.
  • Support onboarding and orientation processes for new staff.
  • Coordinate department educational events, skills fairs, and meetings.

Administrative Support

  • Schedule and coordinate departmental meetings.
  • Prepare agendas, minutes, and follow-up documentation.
  • Maintain departmental files, policies, procedures, and shared resources.
  • Develop correspondence, presentations, and reports for leadership.
  • Serve as a point of contact for internal and external department inquiries.

Data Management and Reporting

  • Compile and analyze operational, quality, and workforce data.
  • Prepare monthly performance dashboards and trend reports.
  • Track department goals, key performance indicators (KPIs), and strategic initiatives.
  • Assist leadership with budget-related tracking and resource utilization reports.

Leadership Support Functions

  • Provide support for employee engagement activities and recognition programs.
  • Assist with coordination of shared governance and department council activities.
  • Support leadership rounding and action item tracking.
  • Facilitate follow-up on department projects and improvement initiatives.
